A combination of related education and experience may be considered.

  • A post-secondary education in business administration or a related field.
  • A diploma in business administration or a related field is considered an asset.
  • A minimum of three years progressively responsible administrative and/or clerical experience.
  • Advanced experience with Microsoft Outlook, Word, Excel, PowerPoint and other software, such as Adobe Acrobat, SharePoint, and OneNote.
  • Familiarity with online video streaming and conference applications (e.g., Teams, Zoom)

Preferred Qualifications and Experience:

  • Experience with student information systems other post-secondary education software is an asset (e.g., SIS, Colleague, D2L, Infosilem).
  • Experience providing administrative and/or faculty support in a post-secondary environment is an asset.
  • Experience providing support to senior level managers or executives is an asset.
  • Understanding of financial, payroll, accounts payable and purchasing processes

Responsibilities:

  • Support ITCE faculty and students in the delivery of on-campus programming; act as the primary point-of-contact and liaison for on-site afternoon and evening classes, ensuring a safe, client-focused learning environment.
  • Provide ITCE students/prospective students with applicable program, course, application, registration, and payment information, including admissions and/or registration requirements, course requirements, and course pre-requisites (as applicable). Contact waitlist students when course seats become available.
  • Provide ITCE students with information regarding parking, student IDs, facility wayfinding, and booking of advising and other appointments.
  • Refer students to MITT Student Advisors, ITCE staff members, and/or the appropriate MITT website links for out-of-scope inquiries.
  • Gather, enter, and update data to maintain departmental records, student information systems (ERP) and databases; set up course sections in the student information system (ERP).
  • Retrieve, forward, and reply to emails received via shared internal email inboxes.
  • Email registration confirmation, course welcome information, and related correspondence to ITCE students.
  • Prepare and distribute applicable exit documentation for ITCE students.
  • Process course drops, withdrawals, and refunds as approved by the supervisor.
  • Exercise confidentiality and discretion in communicating information to faculty, students, staff and the public; handle administrative records and files, student information, course grades, financial and payment information, etc., ensuring compliance with MITT privacy policy.
  • In collaboration with the ITCE Department staff and Registrar’s Office, provide assistance with program planning and scheduling to ensure compliance with the department’s academic program calendar.
  • Assist faculty and students with learning technology troubleshooting and classroom resources set-up and support as necessary, acting as a first-point-of-contact for evening program delivery staff.
  • Assist ITCE department staff in research, analysis, and reporting activities.
  • Compose and prepare written documentation and correspondence for the supervisor and ITCE Director.
  • Assist in preparing proposals for new programs, program changes, and project funding requests.
  • Demonstrate superior written and verbal communication skills when dealing with internal and external clientele.
