Description:

JOB OVERVIEW

We are seeking a detail-oriented and proactive Operations Support Specialist to join our team at FASco Distribution, an HVAC distribution company. The successful candidate will play a crucial role in supporting the smooth and efficient operation of the office and ensuring excellent customer service. This position involves a variety of administrative tasks such as managing correspondence, warranty processing, maintaining inventory records, and providing support to our sales and operations teams.

QUALIFICATIONS

  • Secondary School (preferred)
  • Previous experience in an administrative role, preferably in a distribution or warehouse environment.
  • Familiarity with HVAC products and industry terminology is an advantage.
  • Strong organizational skills with attention to detail and the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both verbal and written.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other office software; experience with QuickBooks software is a plus.
  • Strong problem-solving abilities and a customer-focused mindset.
  • Ability to work well both independently and as part of a team in a fast-paced environment.

Responsibilities:

  • Customer Service: Provide excellent customer service by responding to inquiries, assisting with order status updates, and directing customer queries to the appropriate department.
  • Warranty Processing: Process warranty requests and order parts as required.
  • Inventory Support: Assist with inventory tracking and ordering of HVAC parts and supplies, ensuring adequate stock levels for distribution operations.
  • Data Entry & Reporting: Enter and maintain accurate data in our inventory and sales systems, generating routine reports as needed.
  • Document Management: Prepare various documents such as purchase orders, invoices, and service reports for accuracy and compliance.
  • Sales Team Assistance: Support the sales team by processing customer orders, preparing quotes, and maintaining customer files.
  • Shipping & Receiving: Assist with managing shipping schedules and tracking deliveries of HVAC products to ensure timely and accurate shipments.
  • Vendor Relations: Communicate with vendors and suppliers, maintaining professional relationships and handling necessary paperwork.
  • Accountant Assistance: Assisting with accounts payable or receivable as necessary.
  • General Administrative Support: Perform other administrative duties as required by management, ensuring smooth day-to-day operations.
