JOB PURPOSE

Supporting the Operations and Planning Manager, the postholder will lead on operational services across the Adam Smith Business School (ASBS) to ensure the delivery of an efficient and effective day-to-day service to stakeholders, and take a proactive role in maintaining robust systems, policies and procedures which protect the welfare and interests of its stakeholder groups. The scope of operations that this role will cover includes facilities, reception, health, and safety alongside working in partnership with relevant University Services, such as Estates, IT, Reach Out, Finance, and Commercial Services, to ensure these services continue to meet the needs of the School and its users.

MAIN DUTIES & RESPONSIBILITIES

  1. Responsible for the implementation and consistent application of operational standards for providing advice and guidance, to ensure full compliance with current legislation, relevant quality standards and the University’s own policies and governance practices.
  2. Devise, maintain and deliver reporting frameworks and practices that underpin the University’s approach to health, safety, and wellbeing, playing a key role in the identification and management of risk.
  3. Develop methodology for colleagues, students and/or their representatives to be involved and engaged in decisions that affect their health, safety, and wellbeing, using the information derived to continuously improve practices and procedures.
  4. Developing communication strategies to ensure that all staff clearly understand their responsibilities both as individuals and regarding any supervisory or managerial role they may hold in all aspects of health, safety, and wellbeing and the operations of the School’s facilities.
  5. Act as the Fire Safety Coordinator for the assigned area, carrying out duties in accordance with the University Fire Safety Procedures. Key responsibilities include advising building users on matters relating to fire safety, carrying out regular inspections, performing fire alarm tests and conducting fire drills.
  6. Working closely with the Operations and Planning Manager, lead on assigned projects, contract management, and cost control, acting accordingly to improve service/operational delivery in consultation with senior managers.
  7. Effectively manage the Reception Team, identifying training requirements and delivering staff development programmes tailored to both individual need and business requirements. Ensuring they are customer focussed and contributing to School and University objectives, overseeing the interaction between this team and the Reach Out team operating within the building to ensure a smooth delivery of all services.
  8. Liaise with colleagues across the School and College to ensure procedures, facilities and resources are managed and maintained.
  9. Undertake other duties as required commensurate with the grade of the post.
