Description:

OPS SUPPORT COORDINATOR

Stonegate are recruiting for an Ops Support Coordinator to support the Operations Director and their Senior Teams, within one of the allocated divisions. The Ops Support Coordinator is responsible for the management of administration, including diary management, meetings, dealing with enquiries, travel and accommodation arrangements when required. As an experienced administrator, you’ll drive operational efficiencies and cross departmental synergies to ensure consistent ways of working within the team, whilst working together to build relationships within the wider business.

Key Responsibilities:

  • Attend and prepare for meetings, producing presentations and clear action points or minutes as required, taking ownership of action points to remove work from field-based teams, along with taking an active part to share priorities.
  • Manage incoming and outgoing correspondence, some of a confidential nature.
  • Advising relevant departments of any changes within divisions.
  • Supporting with the facilitation of Area Manager inductions.
  • Provide support to General Managers and sites, assisting with any queries.
  • Provide administrative support to Regional Managers, including but not limited to fact finding, collation of information, running reports and be the point of contact to resolve actions.
  • Raise orders and credits; maintain accurate records for accounting purposes.
  • Proactively look for improvements of ways of working within the Division to better support the team
  • Take an active role in current project work.

SKILLS AND ATTRIBUTES:

  • Service orientated; takes ownership with excellent focus on customer care and query resolution.
  • Exceptional time management and organisational skills; administering multiple tasks within budget & deadline.
  • Clear written & verbal communication skills with strong attention to detail; specifically typing and letter writing.
  • Proactive team worker able to work with autonomy.
  • Strong interpersonal skills demonstrating the ability to develop relationships, manage expectations and business needs.
  • Positive, approach; Adaptable to changing priorities.
  • Ability to remain calm under pressure.
  • Establish trust and maintain confidentiality.
  • Fully competent in all MS Office packages:
  • Accurate recording of all data and information.
  • Excel report compilation, manipulation, use of formulae, v lookup, pivot tables.
