JOB OVERVIEW:

Under the direction of the Manager, the OR Material Assistant Performs procurement activities for OR services in a cost-effective manner with a priority emphasis on effective inventory management. Serves as primary contact for vendors with regard to vendor performance, issue resolution and standardization. Ensure that [unit/department/division] is in compliance with all applicable policies, laws and regulations.

QUALIFICATIONS:

Required:

  • Three to five years Materials Management experience required
  • Three to five years purchasing, data collection and reporting experience required
  • Knowledge, Skills, Abilities: computer, printer, copier, fax machine, MIS terminal

Preferred:

  • BA/BS degree preferred

SCHEDULING REQUIREMENTS

  • Shift: Day
  • Time: 8:00am-4:30pm
  • Full Time (40.00hrs.)

Responsibilities:

  • Follows through on all customer requests and inquiries in a timely fashion
  • Plans, organizes and manages operating room supply chain activities of designated Operating Room materials management areas within Surgical Services, including material flow of products, equipment, and physician special request items for Orthopedics, Urology, Bariatric, Laparoscopic, Vascular, ENT, Dental, Neurology and Cardiac services. Manages improving efficiencies including acquisition, receiving, storage and accounting of supplies, determining cost effectiveness, quality control, and new product feasibility
  • Responsible for daily requisitioning and replacement of all special supplies in the operating room. Replenishes all storage areas, including two storage rooms, 7 operating rooms and multiple carts
  • Manages bill only for the processing and production of requisitions and reports monthly
  • Works with reimbursement to identify billing invoices needed for revenue integrity
  • Meets with scheduling, instrument coordinator, equipment techs, and charge nurse daily, to research and plan for procurement of supplies for all upcoming cases. Discusses any special needs with surgeons, and reviews any product issues, with same. Researches item special requests. Manages flow from value analysis, to trial to purchase
  • Generates comparative reports for directors, and surgeons, to identify cost savings, and/or clinical benefits of new technology
  • Works with Operating Room Manager to qualify responsibility reports
  • Monitors expiring product, and reimbursement for short-dated items
  • Tracks and monitors all recalls for surgical services. Works with risk management to identify recalled items by department
  • Responsible for working with the instrument coordinator, as well as central supply, to manage the replacement, repair and additions to existing fleet of instrumentation for all services
  • Responsible for management of all biologic and synthetic implant tissue supply, and maintenance of tissue tracking system
  • Additional assistance to surrounding departments
  • Acts as a liaison between materials management and the Surgical unit
  • Generates reports of spend, separated by category
  • Reconciles spend vs volume for the Operating Room
