REQUIREMENTS:

  • High school diploma or equivalent; some college coursework or a related degree is a plus.
  • Proven experience in administrative or office support roles, preferably in a healthcare or mental health setting.
  • Strong organizational skills and attention to detail, ensuring accurate scheduling and billing procedures.
  • Excellent communication and customer service skills, with the ability to empathize and interact professionally with clients.
  • Familiarity with insurance verification, authorization, and billing processes.
  • Proficiency in using electronic health records (EHR) systems and standard office software (e.g., Microsoft Office).
  • Ability to handle sensitive and confidential information with utmost discretion and professionalism.

Responsibilities:

  • Scheduling Appointments:
  • Coordinate and manage the appointment schedule for the psychiatrist and mental health therapists.
  • Communicate with clients to schedule, reschedule, and confirm appointments, ensuring timely and accurate information.
  • Handle appointment inquiries via phone, email, or in person, providing exceptional customer service to all clients.
  • Insurance Verification and Authorization:
  • Verify clients’ insurance coverage and benefits prior to their appointments, ensuring accuracy and completeness of information.
  • Obtain insurance authorizations for therapy services as required by insurance providers.
  • Assist clients in understanding their insurance coverage and potential out-of-pocket expenses.
  • Insurance Billing:
  • Prepare and submit insurance claims for therapy services provided by the psychiatrist and mental health therapists.
  • Monitor and track insurance claims to ensure timely payment and follow up on any denied or pending claims.
  • Work collaboratively with insurance companies to resolve billing inquiries and discrepancies.
  • Electronic Health Records (EHR) Management:
  • Maintain and update clients’ electronic health records accurately and securely.
  • Ensure that all documentation complies with clinic policies and relevant legal and ethical standards.
  • Administrative Support:
  • Assist with general administrative tasks, including filing, data entry, and managing office supplies.
  • The ability to read prescriptions accurately, or accurately read and interpret prescriptions and other medical documents.
  • Help with answering phone calls, directing inquiries to the appropriate staff, and providing information to clients as needed.
  • Collaborative Teamwork:
  • Collaborate effectively with other administrative staff, therapists, and the psychiatrist to support the overall clinic operations.
  • Foster a positive and welcoming environment for clients and staff alike.
