Our busy Private Client department are looking for an enthusiastic and outgoing individual to join their team as a PA / Administration Assistant.

QUALIFICATIONS

  • Highers or equivalent in English and Mathematics

SKILLS AND EXPERIENCE

  • Pleasant telephone manner and efficiency in relaying and taking messages
  • Computer literate and familiar with MS office packages
  • Previous office experience

Responsibilities:

ROLE OF THE DEPARTMENT

  • Provide Executry Services to clients
  • Provide Estate Planning Advice (covering Wills, Powers of Attorney, Trusts, Asset Protection & Tax Mitigation) to clients
  • Provide support to branch network in Private Client matters.

JOB PURPOSE

  • Provide administration support to the Private Client Department on a day to day basis on key business requirements.
  • Provide a consistently high level of service to maximise business opportunities.
  • To work as part of a team and individually to ensure the best customer service

KEY RESPONSIBILITIES

  • Answering telephone calls, taking messages, setting up appointments and managing team diaries
  • Opening money laundering and legal files
  • Entering precise data quickly and correctly
  • Office administration duties: filing and scanning
  • Mail duties: Organising all mail for signature, collection and allocation of mail to appointed staff within the department, ensuring all mail leaves the department on the day scheduled
  • Assisting with the receipt of new instructions / referrals - Data input of information on to case management system
  • Using various computer systems to create/update and maintain client records accurately
  • Dealing with basic client queries and taking messages where appropriate
  • Preparing fee notes
  • Registering Powers of Attorney
  • Completion of forms
  • Lodging & uplifting of wills and documents
  • Debt Management
