Responsibilities:

  • Extensive inbox and diary management for all Directors
  • Arranging meetings with internal colleagues as well as external clients.
  • Booking meeting rooms and arranging and coordinating team meetings and events
  • Typing and formatting of letters/reports/tenders/emails
  • Assisting fee earners with collating information and formatting pitch documents and debt chasing when required.
  • Sending and processing out fee invoices to clients and dealing with any queries
  • Creation of agendas and minute taking at team meetings
  • Filing/photocopying/scanning/archiving/printing/binding
  • Handling telephone calls, taking messages and covering phones
  • Maintaining online filing system
  • Processing expenses & Application process for Visas
  • Maintaining close communication with the overseas team
  • Handling extensive travel arrangements for the entire team, flights, accommodation and taxis & creating travel itineraries.
  • Coordinating briefing calls for all international teams and Reporting on international deals.
  • Conducting AML and conflict checks
