Responsibilities:
- Extensive inbox and diary management for all Directors
- Arranging meetings with internal colleagues as well as external clients.
- Booking meeting rooms and arranging and coordinating team meetings and events
- Typing and formatting of letters/reports/tenders/emails
- Assisting fee earners with collating information and formatting pitch documents and debt chasing when required.
- Sending and processing out fee invoices to clients and dealing with any queries
- Creation of agendas and minute taking at team meetings
- Filing/photocopying/scanning/archiving/printing/binding
- Handling telephone calls, taking messages and covering phones
- Maintaining online filing system
- Processing expenses & Application process for Visas
- Maintaining close communication with the overseas team
- Handling extensive travel arrangements for the entire team, flights, accommodation and taxis & creating travel itineraries.
- Coordinating briefing calls for all international teams and Reporting on international deals.
- Conducting AML and conflict checks
