The purpose of this role is to provide administrative and secretarial support. This position is also point of contact for the Harrogate office; responsible for welcoming visitors to the office, working closely with colleagues in the on-site veterinary practice.
Key Responsibilities and Tasks:
- Welcome visitors to the office in a friendly, helpful and professional manner.
- Book meeting rooms, and facilitate meetings ensuring all requirements, including catering, are met.
- Clear meeting rooms, and keep all areas tidy.
- Ensure the office is stocked with necessary general supplies (including stationery, canteen supplies, and some janitorial supplies).
- Administrative and secretarial support for nominated directors.
- Proactive diary management at the request of the Group Administration Manager, to include meetings, travel, telephone calls and online meetings.
- Organisation of meetings, venues, events, travel, accommodation and other logistics.
- Arranging, attending and taking minutes at meetings, as requested.
- Preparation, editing and distribution of reports, presentations and other documentation in line with the CVS branding and style.
- Communication of corporate information to various parties.
- Assist with on-boarding of new staff, and induction programmes, as required.
- Compilation, and checking of, credit card returns and expenses claims, as requested.
- Assist with general queries and requests into central email inboxes, taking ownership of tasks from start to finish, liaising with the requestor and keeping them informed.
- Co-ordination of corporate initiatives.
- Maintenance of relevant electronic files.
- Undertake, or provide assistance on, projects.
KEY SKILLS REQUIRED:
- Previous experience in a “front of house” role.
- Previous experience supporting directors in a secretarial/PA capacity.
- Excellent written/verbal communication and interpersonal skills, including the ability to use positive language.
- Co-operative and solution-focussed, in addition to a strong customer and team focus.
- Demonstrated high level of organisation & time management skills, particularly in an environment with multiple, and sometimes conflicting priorities.
- Ability to arrange complex diaries with a focus on minimising travel and time out of the business, whilst taking into account clinical commitments and urgency, researching and delivering the best options.
- Ability to take accurate and concise minutes of meetings.
- Excellent word processing skills (60+ wpm).
- High level of skill in using technology, including software such as Microsoft Office packages, internet and databases, and technology hardware, such as laptops, projectors, printers, phones, binding machines, etc.
- Solid numeric and literacy skills.
- Demonstrated ability to handle information of a sensitive nature and maintain confidentiality at all times.
- Strong administrative experience
- Secretarial or Business Administration qualification or equivalent would be advantageous.
- Previous experience in veterinary healthcare or services-oriented environment would be advantageous.
