The Role:

  • To include prioritisation aligned to workload
  • Management of Head of Retail & Ops email account to include filing, clearing daily email influx, categorising and maintaining the flag (to-do-list) system.
  • Co-ordinate and prioritise with Retail Exco and any other BU needs as required
  • Ensure agendas, previous minutes and any other relevant documentation / notes are provided in advance
  • Salary: Competitive

The Team:
To provide a comprehensive range of PA and administrative support services to the Head of Retail & Operations and his team. Responsible for the line management of a Team Coordinator
What you will be responsible for:

Diary management

  • Advance notification to others when out of office/unavailable
  • Book meetings and rooms as required (including external venues)
  • Pre-registration of external visitors via Condeco
  • Regular meetings to be diarised throughout the year

Line management

  • Management and development of the Team Co-ordinator within the team
  • Responsible for reviewing and approving annual leave requests for Team Co-ordinator
  • Responsible for the annual performance review for the Team Co-ordinator

Meeting preparation:

  • Minute taking and preparation of minutes for relevant meetings (quarterly)
  • Minutes to be circulated within a reasonable amount of time following meeting
  • Prepare responses to e-mails / letters when required

Papers:

  • Organising and filing papers, think about electronic filing for ease of access.

Outlook:

  • Control of Manager’s Outlook Calendar
  • Manage the Out of Office Messages

Expenses:

  • Check Manager’s direct report’s expense claims prior to approval and flag any potential issues
  • Submission of Manager’s expenses

Purchasing:

  • Manage all aspects of the Purchase to Pay process for the Senior Leader/Managers cost centre which may include new supplier onboarding and Purchase Order processing.

Your skills, experience and qualifications:

Essential criteria

  • Advanced knowledge of Word, Excel and PowerPoint
  • Proven experience of secretarial/PA responsibilities
  • Good spoken and written English
  • Good attention to detail
  • Proactive and able to work on own initiative
