Description:
WHAT’S THE OPPORTUNITY
We have a fantastic opportunity for a proactive Administrator to join the project management team. This is a very busy and varied new role and ideal for someone who thrives in delivering a high level of support within a dynamic and driven team.
You will be working closely with a Project Management Partner as well as the wider project management team and business.
Our team are specialists in the delivery of high quality, highly sustainable developments, most of which are with the Colleges of Cambridge. We are passionate about what we do and we are looking to someone to join our tight knit and rapidly growing team to help in the wider delivery of those projects.
What we need from you:
- Dynamic and self-assured individual with strong interpersonal skills, excellent time management, organisation, co-ordination and prioritising skills
- Strong proof reading and attention to detail skills
- Advanced IT skills – Microsoft Office, Outlook, Powerpoint.,Excel
- Ability to take responsibility for production of high quality/accurate work
- Previous experience of working in an office environment essential
- Administration or PA qualification an advantage
- Ability to demonstrate confidentiality and discretion at all times as appropriate for the role
Responsibilities:
WHAT YOU NEED TO DO TO BE EFFECTIVE IN THIS ROLE
Senior Partner Support;
- Diary management including booking travel arrangements i.e. flights, hotels, meetings, etc
- Co-ordinate internal meetings for the team, including regular management meetings and training sessions.
- Preparing letters, presentations and reports
- Liaising with staff, external consultants, suppliers and clients
- Arranging appointments, implementing and maintaining procedure/administration systems
- Raising professional fee invoices, managing outstanding client invoices
- Collating external project invoices, checking and passing to the client for payment
- Compiling weekly team planners for our project managers
- Typing of project minutes for the team and issuing to the wider project teams
- Assistance in arranging external events, both professional and social.
- Attending sites to meet external consultants, take photographs and aid with general project assistance.
- Assisting with managing the project SharePoint sites
- Assisting the wider team with issuing of invitations to tender
Attending meetings on occasion to take the project meeting minutes in person.
Marketing Support;
Supporting the Marketing department with formatting, proof reading, collating, updating presentations, printing and binding of reports and pitches
- Creation of bids and bid management along with binding and photocopying of documents
- Production of letters, reports, and other documents to a high standard. Ensure that all correspondence and documents that are produced are accurate, grammatically correct, error free and comply with the Ridge Style Book
- In-house database: add and amend data entries when required, checking that information is correct and as complete as possible
- Assistance with office marketing events
- Overseeing of social media posts & marketing

This role will require you to have regular contact with the company Partners, therefore a high level of customer service skills with a strong ‘can do’ attitude is essential.
