Description:

We are looking for a Personal Assistant, with significant experience, to support the Surrey Heartlands Trust Provider Collaborative Managing Director.
We are looking for a PA to provide a timely and effective Personal Assistant service to the Managing Director, enabling them to make the best use of their time.
You will be supporting the Trust Provider Collaborative, across the Surrey Heartlands area, to deliver system-wide services.
1. Keep abreast of all issues being dealt with by the Managing Director to be able to deal effectively with enquiries and progress work on own initiative.
2. Establish and maintain good working relationships with the Executive teams of the four member organisations (Royal Surrey NHS FT, Ashford and St. Peter’s Hospitals NHS FT, Surrey and Sussex Healthcare NHS Trust, Surrey and Borders Partnership Mental Health NHS FT), key colleagues in the SH ICB, and other senior managers and clinical leaders as necessary. Communicate on behalf of the Managing Director sensitive staff related issues.
3. Proactively manage the Managing Director’s diary, ensuring they are kept up to date and papers are provided for meetings.
4. Provide an efficient and confidential secretarial/ administrative support service to senior members of the TPC as required.
5. Deal with daily correspondence, drafting responses as appropriate. Ensure fast and accurate typing of all correspondence and reports.
6. Monitor, field and prioritise telephone calls and emails to the Managing Director, ensuring that any enquiries are dealt with in a professional, reassuring, sensitive and confidential manner.

Provide a timely and effective Personal Assistant service to the Managing Director, enabling them to make the best use of their time.
Your role is to provide a comprehensive confidential secretarial and administrative service to the Managing Director of the TPC and key senior colleagues, co-ordinating the functions of their offices and taking forward delegated tasks on behalf of the Managing Director.
You will establish and maintain appropriate filing systems and databases, ensuring timely and accurate filing.
You will ensure information is circulated appropriately as required, and that high standards of communication is achieved.
You will plan and organise meetings, including booking of venues and catering, preparing agendas, taking minutes of meetings for the TPC, and timely distribution of papers.
You will propose changes to administrative protocols as necessary to enable the Managing Director and team to meet their targets. Implement new and existing administrative protocols and procedures from own initiative
