Description:
JOB SUMMARY:
The Human Resources Compliance Coordinator is responsible for ensuring that all personnel-both new hires and contracted staff-meet the necessary compliance and regulatory standards for employment. This includes overseeing the completion of required orientation, medical screenings, background checks, OIG and adverse action searches, as well as annual licensure and immunization checks. The coordinator will work closely with the HR and the Director of Quality and Compliance to ensure all documentation is properly maintained and that the organization remains in compliance with federal and state laws, including 42 CFR Part 460
QUALIFICATIONS:
- Education:
- High school diploma or GED required.
- Associate’s degree in Human Resources, Business Administration, or a related field preferred.
- Experience:
- Minimum of 1-2 years of experience in a human resources, compliance, or administrative role, preferably in a healthcare setting.
- Skills:
- Strong organizational and record-keeping skills.
- Ability to manage multiple priorities and deadlines.
- Familiarity with healthcare regulations, particularly OIG exclusion and background check processes.
- Proficiency in Microsoft Office Suite, with experience in using HR information systems (HRIS) or compliance management software.
PHYSICAL REQUIREMENTS:
- Ability to sit for extended periods, use office equipment, and communicate effectively in person and over the phone.
- Occasional travel to PACE centers or training events may be required.
Responsibilities:
- Personnel Onboarding:
- Ensure all new hires and contracted personnel complete appropriate orientation programs.
- Track completion of mandatory training, including regulatory, compliance, and role-specific training.
- Verify completion of pre-employment medical screenings and maintain accurate health records for each employee.
- Background Checks and Clearance:
- Coordinate and ensure the completion of criminal background checks through the Louisiana State Police or an approved vendor for all new hires and contracted staff.
- Conduct monthly OIG exclusion and adverse action searches to ensure no employee or contractor is excluded from participation in federal healthcare programs.
- Document and store all background check and exclusion search results in accordance with state and federal guidelines.
- Annual Licensure and Immunization Checks:
- Verify and track the validity of professional licensures for applicable staff (e.g., nurses, social workers).
- Ensure all staff maintain up-to-date immunizations as required by regulatory guidelines.
- Coordinate re-verification of licensure and immunizations on an annual basis and ensure proper documentation.
- Compliance Audits and Reporting:
- Assist the HR department in conducting regular audits of personnel files to ensure compliance with CMS and PACE program standards.
- Maintain records of all compliance-related activities, including orientation completion, medical screenings, background checks, and monthly database searches.
- Prepare reports for management, summarizing the status of personnel clearances and compliance efforts.
- Collaboration with Compliance Team:
- Work closely with the Director of Quality and Compliance to address any issues related to personnel clearance or compliance.
- Assist in the development and implementation of policies and procedures to enhance compliance with personnel regulations.
