DESCRIPTION

We are seeking an experienced Paralegal to join our team to support Branch Management and Realtors in addressing Real Estate Council of Ontario (RECO) complaints, professional standards complaints, and various litigation matters. In role, you will be responsible for identifying, assessing, and mitigating risks while also providing legal support to ensure compliance with regulations and company policies. This role will involve collaboration with multiple teams, including Deals processing, Accounting, leadership team and external counsel, to ensure compliance and maintain up-to-date documentation. We are looking for a detail-oriented, ambitious candidate to join our winning team!

REQUIREMENTS:

  • 5+ years of experience as a Licensed Paralegal , with a strong knowledge of corporate and real estate litigation matters.
  • 2 + years of real estate, compliance and corporate experience is an asset
  • Must hold a valid Paralegal P1 License.
  • Proficient in residential real estate law and commercial agreements, with specific knowledge of the Rules of Civil Procedure, Small Claims Court procedures, FINTRAC guidelines, RECO regulations TRREB rules and bylaws and and FINTRAC compliance.
  • Strong organizational skills, with the ability to prioritize tasks and manage multiple projects effectively.
  • Excellent written and verbal communication skills, with a analytical and problem solving flexible approach.
  • Able to work well under pressure, manage multiple tasks, and take ownership in supporting the success of colleagues and stakeholders team.
  • Proficient in Microsoft Office Suite and experienced with virtual data rooms for document management.
  • Detail-oriented, creative, and adaptable to changing priorities.
  • Strong business and legal communication skills.

Responsibilities:

  • Support branch offices with RECO complaints, professional standards complaints, arbitration, and court litigation matters as needed.
  • Assist in implementing policies and procedures related to compliance with FINTRAC, PIPEDA, CASL, and TRESA 2020.
  • Maintain organized and current files, ensuring all necessary documentation is up to date using our internal document management system (DMS)
  • Collaborate with various teams to ensure accurate reporting and compliance with regulatory requirements.
  • Review, track, and monitor legislation impacting the company’s services and processes, providing summaries to the leadership team.
  • Complete and submit RECO corporate filings and changes, as well as required paperwork for regulatory bodies such as FINTRAC, OREA, and CREA.
  • Draft, file, and manage business entity documents, including contracts, corporate resolutions, and partnerships with provincial and federal agencies.
  • Liaise professionally with insurance adjusters, legal professionals and agents on all court related matters
  • Prepare and file annual returns; conduct business name searches for availability and corporate profile searches
  • Working knowledge of corporate registry systems, including PPSA and eCore.
  • Have full knowledge of the corporate charter documents and records to ensure compliance with governing statutes.
  • Assist in the management of corporate compliance agenda and policies, risk management, compile and report money laundering activities to FINTRAC.
  • Assist in reviewing and updating contracts to ensure compliance with applicable legislation and regulations.
  • Renew and maintain company licensing, including managing contractual requirements and regulatory filings.
  • Involve and assist in the hiring of external counsel as necessary and provide project management oversight for legal department projects.
  • Perform administrative duties such as correspondence distribution, file maintenance, and phone support
  • Proficient in utilizing a tickler system, tracking open file matters, and general management of legal files.
  • Demonstrate initiative and work with limited supervision while collaborating effectively with team members and management.
  • Perform other duties as assigned by the President
