HELP US MAKE A REAL DIFFERENCE IN A CHILD’S LIFE – JOIN OUR MID SUSSEX CHILD CONTACT CENTRE TEAM AS A PART TIME HOME-BASED ADMINISTRATOR

The administrator supports our Mid Sussex Child Contact Centre Manager and will be IT proficient, with excellent knowledge of Microsoft Excel and Word, cloud storage such as dropbox and confident with arranging video meetings.
The ideal candidate would need to demonstrate that they have an extensive business administration background, experience with invoice creation, be highly organised and can undertake work accurately and independently.
Child contact services provide the opportunity for a parent to spend family time with a child not currently living with them. The children we work with may be living with a parent, an extended family member or foster carers. In addition, we offer Family Support Work support to Local Authorities.
The specific tasks undertaken will be directed by your manager, to meet the needs at that time. The main duties will be invoicing our private clients, ensuring payment is made on time and managing the Contact Centre Diary including the allocation of staff to cover the contact sessions. In addition, this role will involve:
· Staff allocation
· Coordination of service delivery
· Meeting the Day-to-Day administration needs of the Centre.
· Liaising with parents and our contact supervisor team to set up contacts.
· Sending out parental agreements
· Rearranging Contact Sessions when required.
· Updating centre diaries and ensuring all contact session are allocated to a contact supervisor.
· Raising new invoices for amended contact sessions.
· Providing day to day support with administrative tasks to Centre Manager.
· Liaison with the team of Child Contact Supervisors, as directed by the centre manager.
· Organising staff social events
· Compiling statistics
· Marketing
. Covering for the centre manager when they are on leave
Although a home-based position, the administrator will periodically be required to attend our child contact centres in Hassocks and Haywards Heath West Sussex, so must live within a 45 minute drive of one or both centres.
Applicants must have access to a suitable home workspace, without interruptions during their working day as they will be making and answering confidential phone and video calls.
Due to the nature of our work, it is essential that the administrator can communicate professionally with a wide range of people, often at challenging times in their lives. This includes liaison with families, solicitors and social workers.

- AT LEAST THREE YEARS EXPERIENCE WITHIN AN ADMINISTRATIVE POSITION

  • Previousexperienceofinvoicecreation
  • Excellent IT skills. This role requires frequent use of Excel, Word, Zoom, Teams and Dropbox.
  • Excellent organisational skills.
  • Ability to accurately and expediently work with figures, generating accurate invoices in a timely manner
  • Ideally experience working with families
  • Robust and resilient. You will be dealing with families at very challenging time in their lives
  • Excellent written and verbal communication skills
  • A car owner. You will be attending meetings at our centres
  • You must be experienced and confident in working independently, as most of this role is home based
  • Ability to work in high pressure environment and against tight deadlines.
  • Ability to work with colleagues, AGFS managers and families in an honest, reliable and ethical manner.
  • Ability to quickly acquire new knowledge and capacity to effectively use it in line with assigned work responsibilities
  • Ideally, although not essential, experience working on a Mac computer. You would be supplied with a MAC computer to work with, unless you own one already
  • A designated room/home space, akin to an office, where you can work uninterrupted and undertake confidential phone calls and zoom meetings.
  • Willingness to undertake an Enhanced DBS check
  • Must live within 45 minutes of one of our contact centres in West Sussex
