EDUCATIONAL AND EXPERIENCE REQUIREMENTS:

  • Three-year diploma in Business Administration, Community Services, Public Relations, or other related fields from a recognized post-secondary institute.
  • Minimum three (3) years’ experience in front-line customer service, preferably in post-secondary environment.
  • Demonstrated proficiency in the use of communication and organizational platforms such as Excel, Outlook, Teams, Blackboard, Office 365, etc.
  • Experience using Salesforce or other CRM tools is beneficial.

Responsibilities:

  • Responsible for checking and responding to the general Entry Advising email box, ensuring clients receive a response within 24-48 hours.
  • Monitor the general entry advising email box: answer basic questions, book appointments, and forward others to advisors.
  • Responsible for managing the walk-in traffic to the St. James office, determining the needs of a potential client and booking an appointment, re-directing to another area, or answering their questions.
  • Greet and welcome clients who enter Entry Advising office at St. James.
  • Control traffic inside the Entry Advising office and direct people to proper departments within the campus.
  • Capture client information to book appointments, or to track walk-in traffic.
  • Book clients into College Advisor calendar.
  • Advise clients who have basic questions such as exemptions, general education guidelines, and offering Full-time and Continuing Education Calendars.
  • Responds to phone inquiries and tracks those inquiries.
  • Listen to and make a log of voicemail messages, forward the remaining list to advisors.
  • General office duties (supplies, signage, calendar etc..), and assist with data entry, tracking visits/ inquiries, and supporting workshop logistics.
  • Other duties as assigned.
