OVERVIEW

Are you a highly organized, dynamic individual who loves variety in your schedule and can handle a multitude of tasks? You will be the right-hand person for all things personal and professional for the CEO of the company. The ideal candidate will be self-motivated, flexible, resourceful, and able to prioritize multiple tasks with great attention to detail.
This job will start off on the low end of the hours range and pick up as the relationship builds. The position has flexible hours with most work to be done M - F in the Pacific time zone.

QUALIFICATIONS

  • 1–2 years of experience as an executive assistant.
  • Excellent time-management, customer service, and organizational skills.
  • Ability to work with little to no supervision and produce consistent, high-quality work.
  • Strong written and verbal communication skills with superior phone etiquette.
  • High competency with computer programs and AI tools, including Google Suite, Microsoft Office, ChatGPT, and CRM tools.
  • Basic accounting skills, with the ability to learn specifics on the job.
  • A strong desire to learn and grow and improve the operations of the company.

Responsibilities:

  • Correspond with potential clients on behalf of the CEO via email and phone.
  • Schedule sales meetings, calls, and webinars.
  • Manage calendar/scheduling of travel, appointments, and reservations.
  • Coordinate to ensure timely delivery of proposals, contracts, and other documents.
  • Assist with personal-related matters to the CEO.
  • Support in managing client communications and follow-ups.
  • Conduct online research tasks and present findings.
  • Assist in preparing and maintaining sales presentations and reports.
  • Develop processes and procedures to improve efficiencies within the company.
  • Update and manage the customer relationship management (CRM) system with new leads, client interactions, and status updates.
  • Research potential sales leads and market opportunities for the CEO.
  • Organize electronic files and general office systems.
  • Monitor sales metrics and provide data-driven insights to improve processes.
  • Perform light bookkeeping tasks, including time tracking, invoicing, and generating financial reports.
  • Perform other various administrative and support duties as needed.
