ABOUT US

Our Orthopaedic Surgical Practice is recently established, and has set up rooms in Hurstville and Caringbah. The new staff would be working Monday, Wednesday and Thursdays (Hurstville), and every alternate Wednesday (Caringbah) for half day consulting sessions. There is the possibility of increasing hours in future.
Our Surgeon specialises in patients with lower limb Orthopaedic problems, with patients from a variety of different backgrounds and ages. Our practice’s vision is to provide those patients with a smooth, well-functioning, empathetic and supportive patient journey.
We will provide you with a dedicated laptop and practice mobile phone to use on site and for WFH (once fully trained and mutually agreed).
On occasion you will provide meet and greet (limited reception services) for another Orthopaedic Surgeon at Hurstville. Both Surgeons work together when performing more complex procedures.

ABOUT YOU

This is an opportunity for a Medical Secretary to step up and upskill and use their existing experience to assist our Surgeon with their paperlite practice. We are seeking an energetic, driven, self- motivated and customer service minded Medical Secretary (we will entertain someone from a Physician/GP background) for a permanent part time role. We are happy to upskill the right candidate that displays initiative and drive to run our practice. You are proud of your customer service skills – which you love to display.
As a pivotal member of this team, you will need to demonstrate an exceptional commitment to ensuring our practice runs at its optimum, with strong patient care and an empathetic manner to ensure we display exceptional care for our patient’s needs. In time as the practice grows, your days may increase along with responsibilities.

Our ideal candidate will have the following:

  • Excellent communication skills with a positive and friendly manner and can-do attitude
  • Professional appearance and demeanour (with outstanding customer care and strong skill level) on all aspects of the Medical Secretarial role
  • Ability to work independently and also love being part of a team (in the future)
  • You pride yourself on your attention to detail and thrive in implementing systems
  • Ability to work well under pressure and to multi-task, happily being the gatekeeper for our Surgeon, allowing them to do what they do best – being a Surgeon.
  • IT Savvy with great troubleshooting skills
  • Experience using Xestro - or similar medical software programs to manage our practice calendar and Surgeon’s appointments – Training will be provided
  • Experience at a Medical Practice (GP and Physician experience acceptable)
  • Some experience or exposure with Theatre bookings and Surgical billing (and quoting) - Eclipse experience viewed highly – We are happy to provide training for the right candidate.

Responsibilities will include:

  • Developing and implementing new practice systems
  • Setting up consulting rooms
  • Welcoming patients into the practice and answering phone calls in an efficient, friendly and courteous manner
  • Delivering exceptional customer service at all times (cannot be overstated)
  • Professional communication - in person, over the phone and written
  • Reception duties including scheduling and managing patient appointments and taking payment
  • Performing general administrative duties such as scanning, mail sorting, filing and following-up patient enquiries
  • Undertaking Theatre bookings and Surgical billing including patient billing and processing of payments – training can be provided
  • Supporting and assisting our Surgeon in a range of administration and ad-hoc
  • Enjoy being flexible to assist our Surgeon and practice
  • Maintain privacy of medical files and office records at all times
  • No medical typing as we utilise AI software

Appropriate above award remuneration based on skills and experience.
