Description:
QUALIFICATIONS:
- High school graduation or equivalent and 1-year administrative experience.
- Ability to work independently when the supervisor is not onsite.
- Experience using virtual meeting tools such as Zoom and MS Teams.
- Knowledge of Google Drive and Google Classroom.
- Experience of using equipment such as digital whiteboards and the Meeting Owl for presentation to in-person and online groups concurrently will be an asset.
- Advanced knowledge of MS Word, Excel, Publisher, Outlook, Internet and email.
- Good written and oral communication skills.
- Good administrative skills, typing speed of 40 words per minute is essential.
- Knowledge of office procedures, capable of meeting timelines.
- Demonstrated ability to work in a team-oriented environment.
- Excellent customer service skills and sensitivity towards educational needs of newcomers.
- Knowledge of CIS, HARTs or iCARE would be an asset.
- Ability to speak Ukrainian is an asset.
- Ability to work at both Newmarket Welcome Centre and Richmond Hill Welcome Centres
- Must be fully vaccinated or be exempt from vaccination on human rights grounds. COSTI reserves the right to require information establishing the validity of the exemption.
Responsibilities:
- Provides administrative and secretarial support to the LINC (Language Instruction for Newcomers to Canada) program.
- Handles students and instructors’ inquiries in person, on the telephone and online regarding COSTI’s programs and services.
- Verifies, compiles, corrects and types program information, administrative documents, templates and statistical reports.
- Prepares and types letters, documents and certificates for signature regarding status of students.
- Creates, organizes and maintains operational files.
- Liaises with assessment centres for client intake assessments and placements in classes.
- Communicates with Welcome Centre partners for client referrals.
- Registers students in classes and refers clients to other COSTI, Welcome Centre or community services as required.
- Supports new clients’ access on virtual meeting platforms to prepare for attendance in virtual classes
- Collects and inputs client data into CIS, iCare, HARTs and the Welcome Centre base.
- Maintains and updates waitlist in the HARTS system.
- Prepares and distributes bus tickets to eligible clients and maintain records.
- Prepares and distributes materials for program outreach.
- Maintains inventory of program equipment, materials and supplies.
- Orders office supplies as required.
- Performs other administrative duties as required.
- Assists with reception duties at the Welcome Centre as required.
