This will be an office based permanent role.

Responsibilities:
KEY RESPONSIBILITIES:
- Administration support to both Managing Director and Contracts Manager
- Filter general information, queries, phone calls and invitations to the Contracts Manager and resolving as required.
- Diary management for the Contracts Manager
- Schedule on behalf of Contracts Manager meeting’s with direct reports and groups which they are a member.
- Ensure Contracts Manager is fully briefed on and prepared for any meetings / engagements they are involved in.
- Keep and maintain an accurate record of papers and electronic correspondence on behalf of the Contracts Manager and Managing Director.
- Organise and minute meetings as required by the Contracts Manager/Managing Director.
- Responsible for coordinating client reports and ensuring they are distributed in line with agreed timelines.
- Ad-Hoc secretarial duties – photocopying, faxing, filing, data-entry, letter writing.
- Carrying out background research into subjects/complaints/issues the Contracts Manager is dealing with, and presenting findings in an easily digestible form
- Administration support for 4 regional managers and a point of contact for them
- Assist with diary management for the regional managers, primarily for site visits for quotations.
- Analyse and present operational data
- Monitor Salesforce to ensure proper data entry by Managers, escalate non conformance issues to Contract Manager
- To work on adhoc projects as they arise e.g. co-ordination of facility enhancements at head office, new supplier reviews, assist the CM with new business proposals etc.
