DESCRIPTION

We are seeking a professional and organized Part-Time Receptionist to join our Ottawa office. This role involves providing administrative support to staff members, working collaboratively with the administrative team, and assisting with occasional requests from the Managing Director. As the welcoming face of our firm, you will ensure clients and visitors receive a professional and friendly experience. Strong communication skills in English are required to support clients and colleagues locally and across Canada.

PROFESSIONAL AND PERSONAL SKILLS

  • One (1) to three (3) years or more of experience in an administrative role.
  • Proficiency in Microsoft Office Suite functions.
  • Knowledge of the Maître software or iManage application (an asset).
  • Fluency in English and French (written and spoken).
  • Strong oral and written communication skills.
  • Excellent sense of responsibility and organizational skills.
  • Discretion and respect for confidentiality.
  • Collaborative attitude and a positive mindset.
  • Commissioner of Oaths certification (an asset).

DESCRIPTION

Nous recherchons un(e) réceptionniste à temps partiel, professionnel(le) et organisé(e), pour rejoindre notre bureau d’Ottawa. Ce rôle consiste à offrir un soutien administratif aux membres du personnel, à collaborer avec l’équipe administrative et à répondre aux demandes occasionnelles du directeur général. En tant que première personne de contact au sein de notre cabinet, vous veillerez à offrir aux clients et visiteurs une expérience accueillante et professionnelle. De solides compétences en communication en anglais sont indispensables pour soutenir les clients et collègues localement et à travers le Canada.

Responsibilities:

  • Welcoming clients, visitors, and suppliers.
  • Receiving, sorting, and distributing mail, packages, and faxes.
  • Managing courier shipments (e.g., Purolator, Med Express) and entering disbursements into Maître.
  • Organizing and maintaining electronic filing systems, including photocopying, scanning, and archiving documents.
  • Assisting in the management and coordination of conference rooms.
  • Opening client files and performing conflict searches.
  • Liaising with administrative staff across our Canadian offices to ensure seamless operations.
  • Monitoring and fulfilling office supply and equipment needs.
  • Performing various administrative tasks as required.
