Date of Appointment: As soon as possible Reporting to: Manager of Procurement
Description: The Procurement Coordinator will be responsible for managing and streamlining procurement processes, ensuring compliance with policies and regulations, and supporting internal departments in meeting their purchasing needs.

QUALIFICATIONS:

Minimum two-year (2) post-secondary diploma in General Business, Accounting or related field or 3 to 5 years’ experience in complex organization/business preferably in purchasing in the public sector.
Excellent technical, interpersonal and communication skills, ability to be a team player.
Proficient using Microsoft Office Suite Programs, Microsoft Nav and Sparkrock 365 and other software applications will be required.
Must possess a valid Ontario Driver’s license and have access to own vehicle.
Completion of or working towards the Principles of Effective Public Purchasing Certificate Program through Ontario Public Buyers Association required.
CPPB designation considered an asset.

Responsibilities:

Coordinate the rollout of new procurement processes and initiatives such as Pcard administration and ecommerce opportunities.
Oversee contract administration; oversee the filing of contracts along with expiry tracking. Notifying internal clients of contract expiration dates to trigger procurement processes.
Provide support to internal staff on purchasing policies and procedures to ensure all procurement activities comply with legal and regulatory requirements.
Work closely with other departments to align procurement strategies with organizational goals.
Prepare reports on procurement activities, expenditures, and supplier performance for management review.
Prepares and issues RFP’s, RFQ’s and Tenders on behalf of internal clients.
Obtains and analyses quotations from registered vendors through standard procurement practices of RFP, RFQ and/or Tendering.
Manage surplus furniture & equipment, perform assessments in accordance with policies.
New schools/new builds: lead the first-time equipping process under the direction of the Manager of Procurement
Identify opportunities for bulk buying and process consolidation where possible.
