Description:

An exciting opportunity has arisen for a highly motivated individual to join the Maternity Admin Team as the Patient Access Team Leader.
Working primarily to support and manage the administrative Team responsible for the booking of Midwifery, Ultrasound, & Obstetric appointments including patients under the care of our Fetal & Maternal Medicine Unit which cares for patients with high risk pregnancies.
The post holder is also responsible for ensuring that the strict timelines for appointments during pregnancy are met, working closely with midwives, sonographers & managers to meet those deadlines.
Maternity & in particular the Fetal & Maternal Medicine Unit, is a high demand, high risk service where understanding the complex pathways some patients are on is essential.
Attention to detail, ability to absorb knowledge quickly & pass on that knowledge to the rest of the team effectively is an integral part of the role.

Supporting the delivery of the daily operational business of Outpatient Administration & Medical Record Management The post holder will be key in offering a supporting role to both the Service Manager and Operational Services Manager. The post holder must be able to identify pressures and help make recommendations on corrective actions required.
The post holder will support the Service Manager to resolve day to day management issues, helping to ensure that a high quality patient experience is delivered. This will involve supporting the Service Manager to resolve operational issues ranging from basic administration problems to more complex issues requiring support and agreement from various teams.

v The ability to monitor and develop the efficiency of our pathways from referral through to patient appointment.
v Supervision of the management of Caesarean Section Theatre lists, liaising with Patient Access Co-ordinators regularly, to ensure processes are implemented correctly.
v Management of Patient Tracking List (PTL) with Patient Access Co-ordinators, attendance at weekly meetings to ensure overview of any issues.
Supporting Patient Access Co-ordinators to resolve any issues that arise, escalating to Service Manger as appropriate
v Management of patient missing follow up, deferred appointment & clinic cache up lists, to maintain accurate patient pathway data.
Attendance at weekly meetings with Patient Access Co-ordinators and support any issues or problems that may arise.
Escalate issues as appropriate to the Service Manager & work with the Service Manager to find & implement solutions.
v Leading the implementation and training of paperless systems for Maternity in conjunction with the Service Manager.
v Management of both face to face and virtual patient appointment systems.
v Implementation and maintenance of accurate computerised and manual record systems.
v Responsibility for creating new and/or editing existing clinic builds in our electronic patient record system (EPR).
v Supporting the Medical Records Clerk to maintain effective practices in the management of Maternity medical records to include tracking, filing, storage, archiving & digitalising of medical records.
v Supporting the Patient Access Team & Medical Records Clerk with arranging the archiving of Maternity medical records to our off-site storage facility and maintaining location spreadsheets which allows for prompt retrieval as necessary.
v Be self-motivated in regard to their own training requirements.
v Provide an ongoing and evolving induction and training package for their team.
v Undertake a range of administrative tasks and be able to provide cover for other team members as and when required.
v Liaise with the Data Collection Lead to provide administration support for participation in local and national clinical audit projects.
v Organise and co-ordinate meetings and on-going training for the team.
v Undertake any other duties which may be reasonably regarded as within the nature of the duties, responsibilities and grade of the post as defined
