POSITION DESCRIPTION

Reporting to the Clinical Manager of Otolaryngology, the Patient Information Coordinator will facilitate the delivery of patient care. The Patient Care Information Coordinator will be responsible for the patient scheduling and registration process and facilitate the delivery of patient care by providing a high level of support and assistance to clinical staff, patient and families. They will support the operation of the clinic by providing clerical and administrative functions in a proactive and organized manner.

Responsibilities:

  • Answer phone calls and respond to requests for information from families and healthcare staff
  • Ensure related scheduling documentation is processed, organized, updated and available
  • Support staff with the registration and flow of patients within the clinic including booking follow up appointments, and booking of new referrals
  • Support clinical staff in organizing and storing materials that are utilized in the clinic
  • Reschedule appointments and inform necessary people of these changes
  • Maintain appointment schedules in Epic and Microsoft Outlook and notify patients/families of any updates or changes to their appointments
  • Initiate and assist in the coordination of family/patient and health care professional education sessions and events
  • Communicate with inter-professional team members within and outside of the organization to coordinate the booking visits
  • Collate clinical data and relay this information in a precise and timely manner to colleagues within and outside of the organization
  • Greet and orient patients and their families to the clinic
  • Resolve billing, collection, and customer inquiry needs for the department
  • Facilitate communication flow via telephone, paging, and computer access
  • Maintain an efficient and tidy work environment
