Description:

SUMMARY

We are seeking a detail-oriented and reliable Payroll Administrator to join our team. In this role, you will manage the company’s payroll processes, employee benefits administration, assist with onboarding new employees, and ensure accurate processing of payroll GL files. The ideal candidate will have experience with the ADP payroll system, strong organizational skills, and the ability to manage multiple responsibilities effectively. This role will report to the HR Manager.

QUALIFICATIONS

  • Education: Diploma or degree in Accounting, Finance, Human Resources, Business Administration, or a related field.
  • Experience: Minimum of 2-3 years of experience in payroll administration, benefits administration, or a related role.
  • Skills:
  • Strong proficiency with ADP payroll system (required) and other payroll software (e.g., Paycom, QuickBooks).
  • Experience processing payroll general ledger files and reconciling payroll accounts.
  • Familiarity with payroll tax regulations, employment laws, and benefits programs.
  • Exceptional organizational skills with the ability to manage multiple tasks and deadlines.
  • Strong communication skills, both written and verbal.
  • Ability to maintain confidentiality and exercise discretion.
  • High attention to detail and accuracy.

ADDITIONAL REQUIREMENTS

  • Certification in Payroll (e.g., Certified Payroll Professional (CPP), Payroll Compliance Practitioner (PCP)) is preferred but not required.
  • Experience with HRIS systems or timekeeping software is a plus.

Responsibilities:

  • Payroll Processing: Administer and process regular payroll cycles (weekly, bi-weekly, or monthly) for all employees and contract labours, ensuring accuracy and timeliness.
  • General Ledger (GL) Payroll Files: Process payroll GL files, ensuring accurate posting of payroll data to the general ledger, including payroll expenses, taxes, and benefit costs.
  • Employee Records Management: Maintain and update employee payroll records, including timesheets, deductions, tax forms, and benefits information.
  • Compliance: Ensure payroll processing complies with federal, provincial/state, and local payroll laws and company policies.
  • Remittances: Prepare workers’ compensation and other payroll statutory filings for all Bevo business site locations.
  • Tax Filings: Prepare and submit payroll tax filings, including employee withholdings, employer contributions, and year-end tax documents (T4s, etc.).
  • Reconciliation: Perform regular payroll and general ledger reconciliations to ensure accuracy in records and resolve any discrepancies.
  • Audit Management: Handle requests and audits from Service Canada and the CRA, and also Year-End audits activities.
  • Employee Onboarding: Collaborate with HR to assist in the onboarding process for new hires, ensuring accurate setup of payroll, tax withholdings, and benefits enrollment.
  • Benefits Administration:
  • Manage employee benefits programs, including health insurance, retirement plans, and other voluntary benefits.
  • Coordinate with benefits providers to enroll employees, handle changes, and process terminations.
  • Respond to employee inquiries related to benefits and provide guidance on plan options and coverage.
  • Assist with open enrollment periods, ensuring that all eligible employees are informed of their options and deadlines.
  • Employee Offboarding: Process payroll and benefits for departing employees, including final paychecks, issue ROEs, and benefits termination.
  • Reporting: Generate and distribute payroll, GL, and benefits-related reports for internal use and external audits as required.
  • Inquiries: Address employee payroll, benefits, and onboarding-related inquiries, resolving issues promptly and professionally.
  • System Updates: Ensure the payroll system is updated with the latest employee data, including pay raises, bonuses, deductions, and benefits changes.
  • Confidentiality: Handle sensitive payroll and benefits data with a high level of confidentiality and integrity.
