POSITION OVERVIEW:

We are seeking a highly organized and detail-oriented Payroll and Accounting Assistant to support our Office Manager in a variety of administrative, financial, and operational tasks. The ideal candidate will help ensure the smooth daily operations of the office, focusing on payroll, accounts receivable and payable, data entry, and general administrative duties. QUALIFICATIONS:

  • Education: A high school diploma is required; post-secondary education in accounting, business administration, or related fields is a strong asset.
  • Experience: Previous experience in payroll, accounting, or administrative roles preferred.
  • Proficiency in Microsoft Office Suite, especially Excel, and experience with accounting software.
  • Strong organizational and multitasking abilities.
  • Excellent attention to detail and ability to work with numbers accurately.
  • Effective communication and interpersonal skills.
  • Ability to work independently and maintain confidentiality.

Responsibilities:

DAILY TASKS:

  • Enter work orders and generate invoices for clients.
  • Process account payments, prepare, and execute bank deposits.
  • Assist walk-in customers with inquiries, sales, and payments.
  • Handle mail preparation and execution.
  • Perform data entry for payroll, accounts receivable, and accounts payable.
  • Conduct collection calls to clients with outstanding account balances as required.

WEEKLY TASKS:

  • Balance the cash box.
  • Support the Office Manager with scheduling and operational tasks when required.

BI-WEEKLY TASKS:

  • Match packing slips with invoices, enter accounts payable, and reconcile statements.
  • Post deposits to the General Ledger.

MONTHLY TASKS:

  • Assist with monitoring and reporting on gross profits for technicians.
  • Invoice warranty work to manufacturers.
  • Track office supply levels and suggest reorders as needed.
  • Create job site documentation as needed.

OCCASIONAL TASKS:

  • Answer phones, respond to inquiries, and perform general filing.
  • Dispatch incoming service calls to technicians as necessary.
  • Assist with inventory updates, pricing, and adjustments.

OTHER DUTIES AS ASSIGNED:

  • Support additional administrative or financial tasks as required by the Office Manager.
