ACCOUNTS PAYABLE (20%)
- Oversee all accounts payable functions including record-keeping, seeking approval, vendor statement reconciliations, filing, archiving, and anticipating cash flow requirements.
- Accurately record PST and GST, and submit appropriate refund claims to government agencies.
- Verify travel and staff expenses for propriety and compliance with company policies, reconciling them against cash advances.
- Record expenses accurately with proper backup and update the expense template as needed.
- Manage credit card operations, including distributing Visa statements, compiling and reviewing credit card expense reports, and following up on discrepancies.
- Handle the weekly EFT run, set up CMO pay transactions, create payee templates, and perform interbank transfers.
QUALIFICATIONS:
- Four to six years of experience in financial management, accounting, payroll administration, and accounts payable, ideally within a non-profit or charitable organization.
- A Bachelor of Commerce degree (or equivalent) with a specialization in Finance/Accounting and relevant work experience. CPA designation (or active pursuit) is preferred.
- Strong understanding of charitable regulations in Canada, Canadian payroll laws, ASPE and ASNPO standards, and CRA compliance for tax receipting.
- Proficiency in SAGE (AccPac) accounting software and familiarity with QuickBooks, Simply Accounting, ADP payroll systems, and donor databases (e.g., Raiser’s Edge).
- Experience in financial reporting, budgeting, reconciliation, and working with program teams and partner organizations. International financial management experience is an asset.
- Experience working with Indigenous communities would be helpful, with knowledge of Indigenous history and cultures or willingness to learn.
- Strong attention to detail, problem-solving abilities, and ability to work both independently and collaboratively in a team environment. Demonstrated ability to manage multiple priorities under pressure while maintaining a values-driven approach.
- Willing and able to travel within Canada for short-term assignments as needed.

Responsibilities:
GENERAL ACCOUNTING DUTIES (15%)
- Prepare journal entries for SAGE, including payroll, Wood Gundy FMV, revenue, allocation, amortization, and recurring entries.
- Generate monthly revenue reports by GL account based on data provided by the Development department for journalizing in SAGE.
- Perform monthly bank reconciliations for the General Account, Credit Card, Fundraising, PayPal and Investment accounts, ensuring that revenue recorded in Raiser’s Edge is deposited into the bank.
- Reconcile gifts in Raiser’s Edge with bank deposits, explain variances, conduct investigations, and implement corrective actions.
- Design or create Raiser’s Edge queries for investigations.
- Establish month-end donations receivable based on various external reports (e.g., CanadaHelps, Blackbaud, Worldline, Stripe, PayPal, ITAS) and record gift processing fees including platform, merchant, and credit card transaction fees.
- Open new accounting periods and complete year-end closing in SAGE.
- Responsible for SAGE back up, upgrade and license maintenance.
- Develop import templates for importing journal entries into SAGE.
- Prepare year-end schedules for audit, provide necessary documents, address queries from auditors, and assist the Controller in completing the annual audit on time.
- Provide timely and accurate support to the Controller for all aspects of financial reporting, requiring sound analytical and technical knowledge of finance and accounting.
