WHAT WE NEED…

Our accounting team is looking for a mid-level Payroll and Benefits Administrator at our corporate office in Austin, TX. This role is an in-office position. We are looking for a focused and motivated individual who pays great attention to detail and who keeps detailed records that are both accurate and timely. This individual should possess professional communication skills, be thorough, and have an HR/Accounting background.

MINIMUM REQUIREMENTS…

  • Associate degree in accounting or similar required. Years of experience may be substituted for a degree.
  • 4+ years of experience as a payroll or benefits coordinator.
  • Great attention to detail.
  • Excellent organizational skills.
  • Ability to communicate effectively, verbally and in writing.
  • Ability to deal professionally with confidential information.
  • Ability to handle a fast-paced work environment.
  • A team player who is a self-motivated professional with a strong work ethic.

PREFERRED QUALIFICATIONS…

  • Bachelor’s degree in accounting or similar.
  • Proficiency in electronic accounting systems.
  • Familiarity with ESOP (Employee Stock Ownership Plans) is desired.
  • Deltek Vision & Insperity software experience is desired.

Responsibilities:

You’ll join the accounting team, which focuses on keeping all things accounting and benefits-related accurate and on track while also being a trusted resource to employees.

Payroll/System Administration:

  • Manage employee records across multiple systems (Employee Navigator, Insperity, Deltek VP from onboarding to termination).
  • Administer payroll activities with external providers to ensure accurate earnings and deductions, such as insurance premiums and 401(k) contributions.
  • Monitor payroll compliance with state regulations.
  • Monitor and ensure timeliness of employee timesheets. In conjunction with project accounting, help answer questions related to entering time correctly on timesheets.
  • Address employee inquiries related to time tracking, absences, and the Paid Time Off policy, obtaining exception approval with HR as needed.
  • Supporting various audits, including workers’ compensation, 401(k) plans, and financial audits.

Benefit Administration:

  • Assist employees with questions related to benefits programs, including health, disability, life insurance and flexible spending accounts.
  • Handle benefit enrollments, review monthly bills, and assist employees with answering questions related to open enrollment and Employee Navigator
  • Ensure compliance with regulations such as ACA reporting and Medicare Part D Creditability.
  • Serve as the point of contact for COBRA administration and oversee enrollments and premium payments.
  • Support employees with Health Savings Accounts.

Leave Administration:

  • Assist with employee leave programs, including FMLA, ADA, state-mandated leaves, and company-specific policies.
  • Coordinate the intake, review, and approval process for all leave requests, ensuring compliance with laws and policies.
  • Collaborate with HR, managers, and employees to facilitate smooth transitions between leave and return to work.
  • Partner with third-party administrators and insurance carriers to manage Short-Term Disability (STD) and Long-Term Disability (LTD) claims.
  • Maintain PTO calendar for scheduling team.
