Description:
POSITION OVERVIEW
The Payroll & Benefits Coordinator supports the day-to-day operations of the Finance Department. The Payroll & Benefits Coordinator is responsible for processing bi-weekly payroll, benefits, pension program, organizing, maintaining and filing confidential employee and payroll records.
QUALIFICATIONS
The Payroll & Benefits Coordinator must possess:
- Post Secondary Degree in Business Administration.
- Minimum of three (3) years of experience working with proven accuracy and compliance.
- National Payroll Certification or working towards.
- Experience working in a unionized environment and ability to work within collective bargaining agreements.
- Adequate knowledge of the Canada Labour Code, and/or other applicable legislation and of the administration of policies and procedures.
- Proficient in Microsoft Office Suite, including Word and Excel, Sage 50, Paydirt and demonstrated ability to learn new software and computer systems quickly. Experience with an HRIS system is an asset.
- Excellent organizational skills and detail oriented.
- Demonstrated excellent written and verbal communication skills.
- Able to work independently with good judgment and professionalism, along with managing multiple projects in a timely manner.
- Ability to work flexible hours, as required.
- Provide excellent customer service to internal and external customers.
- The ability to be bondable, dependable, have initiative, maintain strict confidentiality and possess sound work ethics.
- A valid Driver’s License, and CPR / First Aid certification or the ability to obtain same.
- Criminal Reference Check – Vulnerable Sector – required.
- Must have 2 vaccinations against Covid.
- Fluency either in Ojibway, Oji-Cree or Cree would be considered an asset.
- An understanding and appreciation of Indigenous culture.

Responsibilities:
- Process bi-weekly payroll, vacation payouts, general holidays, retroactive pay and salary increases through Bank EFT.
- Maintain electronic and hard copy confidential payroll records and create payroll reports.
- Ensure vacation and sick time are tracked in the system, as required.
- Respond to employee inquiries about payroll, benefits, and deductions professionally and efficiently.
- Preparation of annual of T4 slips and summary in a timely manner.
- Provides employment letters as requested.
- Preparation of Records of Employment.
- Assist with new hire orientation, processing new hires, terminations, salary changes and vacation increases.
- Prepare salary and benefits budgets annually.
- Process accurate garnishment calculations of wages and knowledge of compliance legislation.
- Alternate monthly with the Director of Finance & Administration bank reconciliations.
- Prepare timely and accurate bi-weekly and monthly cheque requisitions for remittances such as CRA, WSIB, Union Dues, Pension, TFSA, EAP, Seniority list and other deductions as they occur.
- On a bi-weekly basis, collect cash and balance, prepare deposit(s), make deposit(s) and enter deposit(s) into Sage 50.
- Administrative duties.
- Contribute to team effort by accomplishing related results as needed; complete special projects and other related duties as assigned by the Director of Finance & Administration or designate.
