The Payroll & Benefits Specialist works closely with the ADP managed payroll services team to support the seamless administration of payroll, benefits, and pension administration requirements for the Foundation.

THE OPPORTUNITY

We are looking for a skilled Payroll Professional who believes in the mission of the Alberta Children’s Hospital Foundation (“Foundation”) and is committed to providing exceptional service to our team.
The Payroll & Benefits Specialist (“Specialist”) works closely with the ADP managed payroll services team to support the seamless administration of payroll, benefits, and pension administration requirements for the Foundation. As our ideal candidate, you have previous experience in the ADP Workforce Now (WFN) payroll and HRIS system, providing support for payroll, benefits, and employee profile administration. Your attention to detail can only be called ‘outstanding’ and extends to your administrative responsibilities. Regardless of whether you are entering data in the HRIS, payroll, benefits, and/or pension systems, completing reconciliations, preparing for year end, or developing correspondence or other written materials, your focus on accuracy shines through. Your progressive experience has allowed you to develop your expertise and understanding of payroll processes, reporting, payroll accounting, defined benefit pension plan and benefits administration, reconciliations, annual audit requirements, and legislative compliance/regulatory matters. This enhances your ability to work with our managed payroll services provider to resolve any issues that come up along the way. Your expertise extends to the administration of the Local Authorities Pension Plan (LAPP) or another defined benefits plan, and you have a solid understanding of annual pension reporting and audit requirements. You understand that accuracy and timeliness are critical to your role and are committed to delivering an exceptional employee experience while ensuring positive outcomes on the annual audit. Most importantly, you love what you do, and this shines through in the way you approach your work. This is a part-time, benefits eligible role, working the equivalent of three (3) days or twenty-one (21) hours per week; hours of work are flexible within our payroll timelines and core business hours. From time to time, flexibility to work additional days or evenings may be required, particularly during year-end and our annual audit.

Responsibilities:

The Payroll & Benefits Specialist will provide essential administrative and support services for the Alberta Children’s Hospital Foundation, with a focus on the following:

  • Act as the first point of contact for payroll, benefit, and pension queries, responding to questions, providing guidance, and escalating issues when appropriate. This includes queries related to time off and time sheets in ADP WFN.
  • Responsible for data integrity and accuracy of pay and benefit related changes within ADP WFN, benefits portal, pension portal, and other systems. This includes accountability for salary adjustments, changes to benefits, optional contributions, and other changes that impact pay and benefits provisions.
  • Administration of the group benefits and pension plans including additions, changes, and terminations.
  • Completion of calculations in advance of semi-monthly payroll processing, review of time entries and payroll preview reports.
  • Balancing deductions with remittances; preparation of payments for all deductions/contributions not remitted by ADP (e.g., LAPP, Manulife, etc.).
  • Monthly reconciliation of payroll deductions and contributions to GL accounts including pension contributions, benefits premiums, donations, and optional deductions.
  • Together with the ADP Managed Services Payroll Team, prepare year-end reporting. This includes a review of payroll reports and trial T4’s (earnings, benefits, pension, WCB).
  • In collaboration with the finance team, review and resolve GL related reconciliation issues on at least a quarterly basis. Work with ADP to make adjustments to ensure accuracy at year end (and fiscal year end).
  • Complete calculation of pension adjustments and year-end reporting for Local Authorities Pension Plan (LAPP) and Workers Compensation Board (WCB).
  • Work with the benefits broker to manage the annual flexible spending allocations and process year-end deductions for taxable benefits.
  • Track financial data (salary, benefits, pension, and other related expenditures) and work with the HR Generalist to support the Senior Director in developing the salary and benefits forecast and budget.
  • Contribute to the development and maintenance of payroll process documentation and the records required for audit purposes and statutory compliance. Work with the Senior Director to prepare for and support the annual payroll and pension audit process, providing the reporting, files, and documents needed.
  • Work collaboratively with the HR Generalist to complete the human resources, payroll, and benefits onboarding process. This includes capturing new hire information in our HRIS system, benefits, and pension portals, conducting an orientation to the payroll, benefits, and pension systems, including time and attendance, to support an overall positive experience for our new hires.
  • Together with the HR Generalist administer payroll, benefits, and pension transactions for leave of absences including any collection of premiums. and SUB plan top-up payments.
