Responsibilities:
Reporting to the Sr. Manager Payroll & HR Admin, the PHRSA is responsible for:
- the daily operations and accuracy of the Human Resources Information System (HRIS) master file input (utilizing Oracle PeopleSoft).
- Validation of information provided from other areas of HR such as Talent Management, Talent Acquisition, and HR Managers, and from internal clients.
- Ensuring that SickKids¿ employee records and setup are timely and accurately recorded including entry of personal and job-related data.
- timely and accurate processing of all payroll and employee change transactions on a bi-weekly basis.
- Calculation of payroll amounts for retroactive pay adjustments.
- Communication and recovery of overpayments.
- Compliance with hospital policies.
Specific key responsibilities:
- Processing of transactional employee record data for employees prior to the bi-weekly pay run.
- Reviewing and processing automated workflow transactions initiated by SickKids managers, delegates and/or HR colleagues (through Oracle PeopleSoft¿s Manager Self Service module).
- Ensuring the proper signing authorities have approved all transactions and that adequate back-up documentation is available.
- Verifying transactions for accuracy and ensuring information processed adheres to hospital policies and government statutory requirements.
- Set up of employee records in two systems ¿ the PeopleSoft HRIS and Express Net (pay time-capture and approval system).
- Interaction with employees, administrative timekeepers and/or managers for requests, questions re-submitted transactions, issue resolution, or to respond to basic enquiries regarding hospital policies.
- Ensuring proper protection, retention, and destruction (as appropriate) of confidential employee information; including back-up documentation for electronic scanning and storage on a bi-weekly basis.
- Applying knowledge of payroll concepts, legislation, regulations, accounting, calculations, and terminology.
- Maintaining positive internal relationships with internal clients and HR colleagues.
- Calculating and processing of manual cheques as required
- Creating and updating process documentation for internal processes.
- Adhering to payroll audit requirements related to verification.
- Verification of forms entered by another team members.
