Responsibilities:

  • Assisting the Pensions Secretariat Team in delivering best-in-class governance services for the Group’s UK Pension Plan
  • Assisting the IIC Secretary by attending IIC and IIC Sub-committee meetings and writing a first draft of minutes, for review by the Secretary to the IIC.
  • Working closely with the existing Secretariat support to collate the matters arising from IIC meetings, distributing these accordingly and helping to monitor progress.
  • Responsible for maintaining a working draft of a quarterly ‘Signed documents register’ for each quarterly IIC meeting, for review by the Secretary to the IIC.
  • Collating information and drafting initial responses to Anti-Money Laundering requests from investment managers, for review by the Secretary to the IIC.
  • Assisting the IIC Secretary in collating information needed for the Plan’s Climate and Stewardship Code reports.
  • Assisting the IIC Secretary in maintaining BAU documents such as the Statement of Investment Principles, Investment Implementation Document, and Implementation Statement.
  • Assisting the IIC Secretary in maintain an Authorised Signatory List and distributing this to investment managers.
  • Assisting the IIC Secretary in maintain the Business Plan for IIC related matters.
  • Attending regular meetings with the IIC Secretary and the Plan’s investment adviser.
  • Providing feedback to the IIC Secretary on the provision of services from the investment adviser.
  • Attending industry wide training sessions to build knowledge of investment matters, and current pension related topics.
  • Assisting the Pensions Secretariat Team in loading meeting agendas and papers to the online board portal where required.
  • Providing support to the Pensions Secretariat Team and Trustees.
  • Planning, organising, and monitoring work: Recognise changes in priorities and takes necessary action to achieve targets.
  • React positively to changing requirements.
  • Adopt best practice, for example, timelines, accuracy, and reliability.
  • Use of IT systems to create and integrate data (Word, Excel, Microsoft Teams, and PowerPoint proficient).
  • Maintaining and developing personal knowledge and skills relevant to the responsibilities of the role.
  • Complying with Company and Trustee Committee procedures and the requirements of the industry regulator.
  • Liaising pro-actively and building strong relationships with other team members and advisers to ensure clarity and successful delivery of pension Secretariat services to the Trustees/Company
