Description:

We are looking for a People & Culture Specialist / Payroll Administrator to join our team in Stockholm. You will play a crucial part in managing payroll and benefit administration, supporting our People & Culture processes as well as keeping track of various administrative tasks. In this role you will ensure that we strengthen the organization with capabilities needed within both all related administrative areas but also such as EU regulations, local labor law (Sweden at least) and work environment.
To be successful in this position you should have worked in a similar position for at least 3-5 years and you are really enjoying that you have responsibilities in several areas. You will be anchor in the team for keeping track and maintaining order and structure.

Based in our Stockholm office in Kista, you’ll provide support to all our entities across the Nordics, reporting directly to the Director of People & Culture in Stockholm.
The company as well as the global People & Culture team is growing and our aim as team is to be seen as a professional and strategic partner to the business. We will start several interesting projects and digitalization projects related to our competency area.

ABOUT YOU:

You have Personnel Administration and Payroll experience, and you feel very confident and happy in this field. To do well in this job, you should enjoy working in a global environment and be naturally good at improving processes, and always looking for ways to make things more efficient. You need to be good at training and helping managers and employees and this role has many social contacts. Since you have been in the area for some years, you have a broad HR knowledge and skills in general P&C related areas, P&C related tools, labor law and payroll, and are use to support managers and employees in various topics (but not “do their work”). You have a commitment and high integrity to maintaining confidentiality and sensitive information.
As an administrative expert, you should have a sharp eye for details and be comfortable with technology, always aiming to automate and improve tasks. You need to have high technical skills and interest and knowledge for various systems. You must have excellent communication skills in Swedish and English (both written and spoken), knowing of other Nordic languages is a plus.

Responsibilities:

Payroll/Benefit Administration:

  • Liaise with stakeholders/payroll providers in Sweden, Finland, Germany, UK, US, Denmark, Spain, and Iceland for monthly payroll administration.
  • Coordinate reimbursements and per diems with external payroll partners.
  • Review salary slips from service providers to ensure accurate salary processing (four-eyes principle).
  • Train new employees in the time reporting tool and reimbursement/per diem process.
  • Administer employee benefits.
  • Update policies and procedures and look after local regulations that are impacting on taxes and similar
  • Be the expert on vacation rules, maternity/paternity leave, on call handling and more
  • Look after insurances and our total compensation offerings to our employees
  • Collaborate with lease car providers

Pre- and Onboarding Administration:

  • Write employee agreements and act as the first point of contact for new employees.
  • Coordinate administrative tasks for onboarding, such as ordering hardware, access cards and maintaining communication with internal stakeholders (IT, hiring managers, etc.).
  • Ensure accurate data collection and gather onboarding documents from new employees.
  • Inform the organization about new colleagues and update the internal intranet, systems and documents.
  • Work towards automating the onboarding process from start to finish.

Other Responsibilities:

  • Serve as a superuser for the HRM system, Sympa.
  • Support and, in some cases, drive annual P&C processes and development projects in collaboration with the colleagues in the P&C team.
  • Manage and update the employee/manager handbook in Confluence.
  • Collaborate with managers and the Health, Safety, and Environment team to ensure a good work environment.
  • Support other departments with statistics (e.g., ESG, Security and Compliance, Marketing).
  • Deliver/register various KPI/statistics to authorities.
  • Perform other P&C administrative tasks as needed, as example purchasing of equipment/bags/giveaways.
