Our people team is looking for a People Operations Specialist to join our team and help take us to the next level. Reporting to the VP, People but working closely with our whole People team, this role will be responsible for the magic behind the scenes that makes our team a key partner to the business. Photonic has grown quickly and we are hard at work to create People practices and process to support a larger team. Responsibilities:
Systems and Tools
Be our internal expert on HR systems – HiBob as our HRIS, as well as other systems like our ATS and EOR systems
Support in the development of People Operations processes based on industry best practice, scalability and ease of use
Ensure processes are well documented and easy to find
Actively identify opportunities to utilize HR tools to streamline, automate and power our People operations processes
Research and recommend new tools or ideas to support the scaling of People operations
People Data and Reporting
Be the source for HR data – ensure our data is clean, up to date and accurate
Support in the development of reports and produce them as needed
Support in the development of clear guidelines and systems for data collection, ensuring consistency across all People projects and initiatives
Maintain HR records and documentation, including files, templates, letters, policies, and employee handbooks
Employee Experience
Manage, organize and conduct new employee onboarding process, including preparing onboarding materials, delivering P&C orientation sessions, and scheduling training sessions
Coordinate with Payroll, IT, and IP teams to ensure employee offboarding process is compliant with various internal policies and local employment laws
Own the employee onboarding and offboarding programs, ensuring our employees have the best employee lifecycle experience
Act as a first point of contact and resource for employees, addressing questions, concerns, and providing guidance on HR policies and procedures
HR Compliance
Support the People team in developing policies and procedures that are in compliant with all federal, provincial, and local employment laws and regulations
Bonus points if you are familiar with US and UK employment practices as well
Be an active participant in the company’s Joint Health and Safety Committee
Benefits & Compensation
Administer health benefits programs for our Canadian, US, and UK employees according to their life cycle (enroll, update, terminate)
Be the first point of contact for benefits related questions
Act as a liaison between Photonic and benefits providers / insurance brokers
Participate in benefit programs evaluation and design
Assist in annual renewal process
Assist in the administration of compensation and salary review processes
