KNOW WHAT WE’RE LOOKING FOR:

  • Experience as a HR & Admin Officer, HR Administrative Assistant or similar role
  • 3rd level qualification in Human Resources Management or relevant field
  • Knowledge of relevant HR policies and procedures and best practice
  • Detailed knowledge of Microsoft Office, in particular Excel, and working knowledge of HR systems preferable
  • Strong analytical and numeracy skills, with excellent attention to detail and consistent standards when dealing with high volumes of data and administration
  • Excellent communication and interpersonal skills, confident and respectful
  • Adaptable yet service orientated with the ability to work to tight deadlines
  • Highly organised with the ability to manage more than one project at a time

Responsibilities:

Reporting to the HR Business Partner, you will act as a key support to the People Team, taking on a wide variety of vital support duties. The tasks are varied and the successful candidate is required to juggle daily priorities, to support in delivering the goals of the overall People Department. The successful candidate will be responsible for the delivery of a full range of HR support services to our onsite team in the Arnotts store. This is a full time, permanent contract.

Employee Life Cycle

  • Providing professional advisory support to team members in all aspects of the Employee Lifecycle
  • Managing People Team inbox & phone queries in a timely manner
  • Support the rollout of regular employee engagement initiatives for example, through 1:1 communication, town hall meetings, newsletters, appraisals, and employee engagement surveys/feedback surveys
  • Support the L&D team in driving completion rates for training and ensuring compliance – working with in store management teams to achieve this
  • Support with the delivery of HR strategy in line with business goals
  • Ensuring accuracy and security of physical files and data for HR categories
  • Collaborating and maintaining professional communication with internal departments such as Recruitment, Payroll as well as external vendors / suppliers
  • Processing and maintenance of team member swipe card system and authorisation records for Building Access Control and EPOS training
  • Assist with implementing the team member Wellbeing agenda
  • Support HR Business Partnering and People Support projects and initiatives
  • Involvement in ad hoc HR projects and change initiatives and any other HR related tasks and responsibilities as reasonably required

Recruitment/Talent Management

  • Work with the in store management team to identify recruitment needs
  • Advertising positions and screening applications for internal and external job vacancies
  • Coordinating and conducting Interviews for a wide variety of roles with support from retail management
  • Making offers of employment, reference checking and drafting contracts accordingly

Performance Management

  • Develop close working relationships with the in store management team and gain an understanding of their team in order to assist and advise appropriately
  • Coach management team on setting team members’ annual reviews. objectives and development plans
  • Advise managers on people and performance matters and escalate accordingly to the HR Generalist and HRB Business Partner
  • Note-taking on Disciplinary & Grievance investigations and meetings

HRIS, Data Analytics and Payroll

  • Send Payroll updates on any salary adjustments for team members
  • Administration of new starters and leaver processes in line with best practice and according to internal audit guidelines
  • Running reports to analyse data to assist management in decision making
  • Input where required on the analytics for the HR metrics and HR Dashboards
  • Responsible for preparing reports from the HR database regarding attendance i.e. sick leave, headcounts, probation reviews etc. where applicable
