Key Requirements:

- Exceptional interpersonal skills and the ability to build relationships with stakeholders at all levels.
- Strong organizational and multitasking skills, with the ability to manage complex and competing priorities in a dynamic environment.
- Excellent written and verbal communication skills, with a knack for drafting strategic communications.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- High level of professionalism, integrity, and discretion in handling confidential information.
- Strong problem-solving skills and the ability to navigate ambiguity with confidence.
- Proven experience in office management, including facilities and vendor management
The following experience would be desirable:
- Experience in a sustainability, consulting, or professional services environment
- Experience in HR coordination or similar HR support roles is preferre
Responsibilities:
SUMMARY OF ROLE:
We are seeking a highly experienced and proactive Personal Assistant to provide comprehensive support to the Managing Director (MD) of Anthesis South Africa. The ideal candidate will have over 10 years of experience in personal and executive support, exceptional communication skills, and a keen attention to detail. This role requires a professional who can manage complex priorities, build strong relationships, and navigate dynamic environments. Additionally, this position will include HR coordination responsibilities and overseeing office management across our three offices.
Key Responsibilities
RESPONSIBILITIES:
Provide high-level administrative support to the Managing Director and the SA Senior Management Team, including:
- Managing complex calendars, prioritizing meetings, and ensuring efficient time management.
- Act as a key liaison between the MD and internal teams, clients, and external partners, fostering strong relationships and ensuring clear communication.
- Anticipate the needs of the MD and proactively address issues before they arise.
- Coordinate personal and business-related tasks to support the MD’s efficiency.
- Prioritize the MD’s emails and respond when necessary
- Assist in managing critical communications and negotiations with stakeholders, exercising sound judgment and diplomacy.
- Support the MD in decision-making processes by providing insights, summaries, and relevant data gathered from various sources.
- Organize and facilitate key meetings, including preparing agendas, ensuring participation from key stakeholders, and capturing critical actions.
- Answer and respond to phone calls, communicate messages and information to the MD and/or Sr team
HR Coordination:
- Liaise with Global HR and provide support such as onboarding, maintaining employee records, coordinating training sessions, managing employee engagement activities, and assisting with recruitment processes.
- Coordinate travel arrangements
- Lead and coordinate cross-functional projects or initiatives, ensuring effective collaboration and timely delivery.
Office Management:
- Oversee the management of our three offices, ensuring smooth operations, including facilities management, vendor relationships, office supplies, and adherence to health and safety protocols.
- Maintain various records and documents
