JOB OVERVIEW

We are seeking a dedicated and proactive Personal Assistant to provide comprehensive administrative support. The ideal candidate will possess excellent organisational skills and a keen attention to detail, ensuring that all tasks are completed efficiently and effectively. This role is essential in helping to manage daily operations and facilitate smooth communication within the team.

REQUIREMENTS

  • Proven experience in an administrative or personal assistant role is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite applications.
  • Familiarity with Xero is a plus but not mandatory.
  • Strong clerical skills with a focus on data entry accuracy.
  • Excellent organisational skills with the ability to prioritise tasks effectively.
  • Demonstrated ability to communicate clearly and professionally, both verbally and in writing.
  • A proactive approach to problem-solving with strong attention to detail.
  • Ability to work independently as well as part of a team in a fast-paced environment.
  • Any tasks associated with the role required from the leadership team

Responsibilities:

  • Provide comprehensive administrative support to the Board of Directors, including scheduling meetings, preparing agendas, and organizing board materials.
  • Manage calendars and appointments for the Board.
  • Act as a point of contact between the Board and internal/external stakeholders, maintaining professionalism at all times.
  • Prepare and distribute meeting minutes, track action items, and follow up on outstanding tasks.
  • Assist in preparing presentations, reports, and other key documents for Board meetings.
  • Handle confidential and sensitive information with discretion and integrity.
  • Ensure the timely flow of information to and from the Board, maintaining clear and effective communication channels.
  • Support with ad-hoc tasks and projects as required by the Board and executive team.
