Responsibilities:
KEY RESPONSIBILITIES
- Forward planning & proactive management of calendars across multiple time zones for Head of PMA and Head of Business Operations in Glasgow
- Full ownership of busy diaries - make appointments for internal and client meetings and arrange meeting rooms to suit
- Senior team diary support when required
- Arrange complex travel and itineraries both domestic and global using the companies online travel assistant
- Management and distribution of team correspondence
- Assist with processing department financial data for budgets, and generating various financial queries and reports, where appropriate.
- Effective fulfilment of Invoice pool including resolution of issues and queries and proactive management of payments
- Document preparation for to support senior PMA team (powerpoint, word, excel)
- Complete expense reports and reconciliation of receipts
- Front of House and client area support
- Organise team events
- Any ad-hoc admin duties as and when required.
