Responsibilities:

KEY RESPONSIBILITIES

  • Forward planning & proactive management of calendars across multiple time zones for Head of PMA and Head of Business Operations in Glasgow
  • Full ownership of busy diaries - make appointments for internal and client meetings and arrange meeting rooms to suit
  • Senior team diary support when required
  • Arrange complex travel and itineraries both domestic and global using the companies online travel assistant
  • Management and distribution of team correspondence
  • Assist with processing department financial data for budgets, and generating various financial queries and reports, where appropriate.
  • Effective fulfilment of Invoice pool including resolution of issues and queries and proactive management of payments
  • Document preparation for to support senior PMA team (powerpoint, word, excel)
  • Complete expense reports and reconciliation of receipts
  • Front of House and client area support
  • Organise team events
  • Any ad-hoc admin duties as and when required.
