Description:

We have an excellent opportunity for an experienced and efficient Personal Assistant (PA) to join our team. This is a 12-month, fixed term post and has become available due to the promotion of the current PA moving into an executive assistant secondment opportunity within the Trust.
The role is to provide PA support to the Director and the two Deputy Directors of Allied Health Professionals (AHPs) and Psychological Services. You will need to be highly motivated, enthusiastic with a ‘can do’ attitude and have previous experience of working in a demanding and challenging personal assistant/administrative role at a similar level.
You will have the ability to be flexible, possess excellent organisational, secretarial and communication skills. You must have previous experience of minute taking at director level meetings and have undertaken diary and inbox management.
You must have the ability to proactively manage diaries and inboxes with utmost discretion and anticipating needs. You will take notes at various meetings related to AHPs and Psychological Services and must be able to take and accurately transcribe minutes from complex discussions. You will be proactive to follow up on actions from the meetings and collate papers for circulation.
You will have excellent verbal and written skills, and be required to produce a range of documents and to produce data in different mediums; therefore an extensive knowledge of Microsoft Office applications (including Word, Excel, PowerPoint and Teams) will be important. You will possess excellent and up to date administration skills and be able to demonstrate good attention to detail and accuracy in your work.
The ability to effectively prioritise constantly changing workloads is a must, as is the need to act on your own initiative.
You will have excellent communication, negotiation, and organisational skills with the ability to work well as part of a team, as well as using your own initiative to prioritise and complete tasks and work requests.
You will organise and support events and activities in liaison with more senior colleagues, and be able to ensure effective communication with a wide range of stakeholders.
Your development is important to us, you will be fully supported by the AHP Operations Manager as well as the Director and Deputy Directors of AHPs and Psychological Services. You will receive regular supervision, an annual appraisal, training and workplace opportunities to develop your skills.
The Trust aims to attract and retain a diverse, talented and committed workforce, who are caring and compassionate, and therefore able to meet the demands of the modern NHS now and in the future. In return we can offer a dynamic working environment in which to build a career.
Please see the separate job description and person specification for more information.
The role is full time and you will be based at St Nicholas House however there will be opportunity to work remotely for part of the week as the role allows.
