Job Title: Personal Assistant
Location: Dallas, TX

We specialize in a variety of mental health services, including individual therapy, family counseling, executive coaching, psychiatric and alternative based care. We are seeking a highly competent and skilled professional to support and ensure the smooth operation of both business and personal commitments.
Position Overview: The personal assistant will provide comprehensive, timely, and accurate administrative and personal support.
Key Responsibilities:
Executive Support:
- Manage and coordinate daily schedules, including meetings, appointments, and travel arrangements.
- Prepare and review documents, reports, and presentations for meetings.
- Handle confidential information with the utmost discretion and maintain the highest level of professionalism.
- Liaise with team members on behalf of executive.
- Coordinate communication and follow-ups on key projects and tasks.
- Perform general administrative duties, such as answering calls, responding to emails, filling in for administrators, and handling correspondence.
- Organize and maintain files, records, and databases.
- General office management support; order supplies, conference room set-up, catering for meetings. etc.
- Manage expenses, process invoices, and handle other financial tasks as required.
- Arrange logistics for meetings, conferences, travel, and events.
- Train and oversee administrative employees.
- Assist with the development and implementation of internal systems and training procedures
Personal support:
- Manage personal appointments, schedules, travel plans, personal obligations, assist with personal bookkeeping and financial recordkeeping.
- Ensure personal and professional calendars are synchronized and conflicts are not.
- Personal errands
Travel Coordination:
- Plan and book travel itineraries, including flights, accommodations, transportation, and dining reservations.
- Prepare detailed travel agendas and ensure all necessary travel documents are in order.
Special Projects:
- Assist with special projects as required, including research, event planning, and other ad hoc tasks both personal and operational.
Requirements:
- 10% of time will be spent traveling and running errands
- Typing speed of 70-90 WPM
- Bachelor’s degree or equivalent experience in a related field.
- Minimum of 3 years experience in an executive or personal assistant position.
- Excellent organizational and time management skills.
- Strong verbal and written communication abilities.
- High level of discretion and confidentiality.
- Proficiency in gsuite, accounting, EMR and HR related software.
- Ability to manage multiple tasks and prioritize effectively.
- Proactive and able to anticipate needs and issues before they arise.
