Description:
The Role
- Provide high-level administrative support to the executive team, managing daily schedules, meetings, and travel arrangements. - Coordinate and manage executive communications, including answering calls, responding to emails, and handling correspondence. - Organize and prepare documents, presentations, and reports for meetings, ensuring all materials are accurate and up-to-date. - Handle government relations and liaise with UAE government authorities for company-related matters such as visas, licensing, permits, and regulatory compliance. - Assist with PRO (Public Relations Officer) tasks, ensuring that all government documentation is processed in a timely and compliant manner. - Manage and coordinate business travel arrangements, including flights, accommodation, and transportation, while handling expense reports and reimbursements. - Support the executive team with personal tasks when required, including organizing personal appointments, schedules, and errands. - Assist in managing confidential information with discretion, ensuring sensitive details are secure. - Liaise with internal departments and external stakeholders to facilitate smooth communication and coordination. - Handle ad hoc tasks and projects assigned by the executive team.
Requirements
- Language Skills: Fluency in Chinese and English is essential. - Experience: 4-5 years of experience as a Personal Assistant or Executive Assistant, particularly in the UAE. - Government Relations: Extensive experience in liaising with UAE government authorities and handling official documentation; Familiar with UAE legal and business frameworks. - Driver’s License: A valid UAE driver’s license is required, with experience driving in the UAE. - Organizational Skills: Strong organizational skills, with the ability to manage multiple tasks and prioritize effectively. - Communication Skills: Excellent verbal and written communication skills in both Chinese and English, with the ability to interact professionally at all levels. - Problem Solving: Proactive and solution-oriented, able to manage issues independently and efficiently. - Confidentiality: High level of discretion and the ability to handle sensitive and confidential information.
