KEY ACCOUNTABILITIES:
- Provide high-level diary and time management support, ensuring optimal utilisation of the manager’s time.
- Screen telephone calls and correspondence as appropriate.
- Schedule meetings with both internal and external customers, including the reservation of venues, resources, and catering requirements as needed.
- Coordinate and schedule regular departmental staff meetings (including SEF, WIPs, teleconferences, 1/4ly updates, Leadership Conference, etc.).
- Organise all travel requirements and itineraries, ensuring correct documentation is available.
- Produce reports and documents as requested.
- Organise and maintain efficient filing systems.
- Manage business expenses and reimbursement claims.
- Ensure all required reports from Executive General Manager – Treasury & Advisory direct reports are received on time.
- Coordinate and liaise with external contacts from time of arrival to leaving the site.
- Maintain a professional level of communication with both internal and external clients, ensuring confidentiality and discretion as required.
- Ensure all documentation produced is professional, of high quality, and delivered in a timely manner.
- Represent Sanitarium and the Executive General Manager – Treasury & Advisory where appropriate, internally, and externally, as directed.
- Coordinate and/or prepare documents for Board meetings and set up in the company secretarial software platform for circulation to Directors
- Type draft meeting minutes.
- Keep agenda schedule for meetings.
- Send out email resolutions and monitor responses.
- Prepare, record, and email minutes for all meetings including action points and follow-up.
- Assist in special projects as required.
Responsibilities:
We are seeking a highly motivated Personal Assistant with extensive experience to support the Executive General Manager – Treasury and Advisory. This role requires a professional with a high level of discretion, initiative, diplomacy, and communication skills as well as the knowledge and experience which comes from working with Board and Executive teams, as well as internal and external stakeholders.
We are open to full-time or part-time hours (Monday - Thursday preferred)
