JOB SUMMARY

The Personal Assistant will support the CEO/MD by managing daily activities, schedules, and communications with efficiency and discretion. The ideal candidate is highly organized, proactive, and thrives in a fast-paced environment.

REQUIREMENTS:

  • Minimum of 10 years of experience in an executive assistant or personal assistant role, supporting C-level executives or senior leadership.
  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Exceptional time management and organizational skills, with the ability to handle multiple tasks and priorities efficiently.
  • Strong verbal and written communication skills, with the ability to interact professionally with internal and external stakeholders at all levels.
  • Meticulous attention to detail, particularly in scheduling, document preparation, and expense tracking.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with project management and calendar scheduling software.
  • Strong problem-solving skills, with the ability to think on your feet and handle changes or issues that may arise with minimal disruption.
  • Ability to manage confidential information with the highest level of discretion and professionalism.
  • Excellent interpersonal skills, with the ability to build strong working relationships with the executive and other team members.
  • Willingness to work flexible hours, including evenings and weekends, as required by the executive’s schedule.
  • A proactive, resourceful, and self-motivated attitude, with the ability to anticipate the executive’s needs and take initiative.

Responsibilities:

  • Manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements, ensuring efficient time management.
  • Arrange detailed travel itineraries, including flights, accommodations, and ground transportation, and handle any changes or issues that arise.
  • Act as the primary point of contact between the executive and internal/external stakeholders, including managing email correspondence, phone calls, and other forms of communication.
  • Prepare agendas, take minutes, and follow up on action items for meetings attended by the executive.
  • Draft, edit, and proofread documents, presentations, and reports. Maintain organized digital and physical files.
  • Assist with special projects, ensuring they are completed on time and within scope.
  • Provide personal assistance as needed, including running errands, managing personal appointments, and handling confidential matters with discretion.
  • Oversee the smooth running of the executive’s office, including managing supplies, coordinating with IT, and ensuring a professional environment.
  • Organize company events, conferences, and other corporate functions as required.
  • Handle budgeting and expense reporting for the executive, ensuring all expenditures are tracked and reported accurately.
