Description:

  • We are seeking an experienced and highly organized Executive Assistant to provide comprehensive support to the CEO of our thriving fashion business.
  • The ideal candidate will possess excellent communication skills, exceptional attention to detail, and a proactive approach to managing the CEO’s demanding schedule and tasks.
  • This role requires discretion, professionalism, and the ability to handle sensitive information with confidentiality.

REQUIREMENTS

  • Bachelor’s Degree in any related field
  • A minimum of 2 years of experience as a personal assistant or executive assistant is preferred.
  • Knowledge or interest in the fashion industry is a plus.
  • Excellent organizational and time management skills.
  • Strong communication and interpersonal abilities.
  • Proficiency in Microsoft Office and scheduling software.
  • Good Project management skills
  • Ability to handle multiple tasks simultaneously and adapt to changing priorities.
  • Discretion and a high level of integrity.
  • Flexibility to work occasional evenings or weekends, as required.
  • Candidates must live in close proximity to the island.

Responsibilities:

  • Coordinate the CEO’s schedule, including meetings, appointments, and travel arrangements. Anticipate scheduling conflicts and proactively resolve them to ensure efficient use of time.
  • Act as a liaison between the CEO and internal/external stakeholders, including clients, partners, and team members. Manage emails, phone calls, and correspondence on behalf of the CEO, ensuring timely responses and follow-ups.
  • Handle administrative duties such as expense reports, filing, document management, and office supply procurement. Maintain organized records and files, both physical and digital.
  • Assist the CEO in various projects and initiatives, including research, data analysis, and presentations. Coordinate with other departments to gather information and facilitate collaboration.
  • Arrange all travel logistics for the CEO, including flights, accommodations, transportation, and visas. Provide detailed itineraries and travel packets, and anticipate any potential travel disruptions.
  • Prepare meeting agendas, presentations, and materials as needed. Attend meetings with the CEO, take minutes, and follow up on action items to ensure timely execution.
  • Support the planning and execution of corporate events, conferences, and industry gatherings. Coordinate logistics, manage guest lists, and ensure events run smoothly.
  • Handle sensitive information with discretion and maintain confidentiality at all times. Uphold the highest standards of professionalism and integrity in dealing with confidential matters.
