Description:

In this role, you will be the right hand to our CIO who highly values trustworthiness, courage, and the intrinsic motivation for self-development. It is your responsibility to ensure smooth operations and effective communication across all levels. Your ability to anticipate needs, proactively manage tasks, and handle spontaneous challenges will be key to your success. Your assignments

  • Executive Support: Manage the CIO’s calendar, prioritize and coordinate meetings, handle email correspondence, and organize tasks efficiently to keep the CIO focused on strategic priorities.
  • Central Point of Contact: Serve as the primary liaison between the CIO, employees, and external stakeholders, acting as a filter to manage the flow of information.
  • Office Management: Oversee administrative processes, including procurement tasks, onboarding/offboarding processes, and ensuring smooth day-to-day operations.
  • Communication Interface: Assist in the preparation and dissemination of internal communications, such as the Global IT Call and regular newsletters, working closely with the PMO.
  • Event & Meeting Management: Coordinate, organize, and support internal and external meetings, workshops, and events, both locally and globally. This includes logistical arrangements, material preparation, and follow-up actions.
  • Project Support: Take on special projects as needed, providing data for reporting purposes, and assisting with monthly and annual financial forecasting.
  • Ad-hoc Responsibilities: Be ready to tackle unexpected tasks that arise, ensuring the team and the organization run smoothly.

Your profile

KEY QUALIFICATIONS:

  • Educational Background: A completed vocational training in business administration, IT, or a related field.
  • Communication Skills: Strong verbal and written communication skills in both English and German. You’re able to convey information clearly and effectively across all levels.
  • Technical Proficiency: Solid experience with MS Office, particularly in Word, Excel, and PowerPoint. You can create, update, and format documents with ease.
  • Organizational Savvy: You’re a master of multitasking, with a structured, detail-oriented approach to managing tasks and schedules.
  • Interpersonal Skills: Confident and diplomatic in your interactions, you can navigate and manage relationships with stakeholders at all levels.
  • Flexibility & Adaptability: Willingness to travel (approx. once per quarter for 3-4 days) and adjust to varying schedules and priorities as needed.
  • Problem-Solving: You’re resourceful, with a knack for finding solutions and overcoming obstacles independently.
  • Confidentiality: You understand the importance of discretion and maintain a high level of confidentiality in all matters.
  • Motivation & Growth Mindset: You’re eager to learn and develop your skills, ready to take on additional responsibilities like event management and communication support.
