Personal Assistant to the UK Management Team
Location: London – a mix of office & home working
Salary: c. £35-42,000 base depending on experience
Contract: 12 month Maternity Cover

About the role
As you can imagine this role is integral to the successful running of the day to day activities of your Management Team members and as such you’ll be involved in a variety of activities and interact with a broad range of stakeholders. You’ll be working as a true right hand whilst understanding the departmental priorities of each area. To be a success in role you’ll be passionate about providing comprehensive and varied support whilst maintaining confidentiality
To be a success in role you’ll be able to act firmly and decisively in managing the agenda and meeting schedules and to make decisions accordingly whilst prioritising the needs of the directors. You’ll be a key gatekeeper and first point of contact to valued internal and external stakeholders and customers, so you’ll be as keen as we are to consistently exceed their expectations.
This role involves extensive diary management, including daily management of scheduling and rescheduling appointments, communicating with attendees and ensuring appointments are booked with the correct facilities.
There will also be extensive travel organisation involved, including flights, hotels, trains etc along with detailed travel itineraries and expense processing.
At HEINEKEN, stakeholder relationships are key so you’ll be a natural at building rapport and trust whilst in turn managing the expectation of those around you, coordinating and prioritising the schedules and tasks of senior and executive colleagues and sensitively managing any diary conflicts.
Who we’re looking for
You’ll be highly organised with exceptional attention to detail, preferably with past experiencing working as a EA/PA at a senior level. The ability to prioritise workload whilst maintaining a high level of professionalism, discretion and the ability to communicate in a clear and practical manner is key. This role would suit someone with a proactive mindset and the ability to work in ambiguity with the ability to quickly find solutions to problems.

We’re looking for someone who has:

  • Strong experience of diary management, booking meetings, organising travel
  • Ability to prioritise competing demands and work under pressure
  • Comfortable in using Microsoft Office applications

Our ways of working
Our office sites operate a hybrid model. You’ll spend Tuesdays, Thursdays and one other day in the office and two days from home, although but you’re more than welcome to come and work from the office on those days too.
