PHYSICAL EVALUATION BOARD LIAISON OFFICER (PEBLO) ASSISTANT

AAI is actively looking for a Physical Evaluation Board Liaison Officer (PEBLO) Assistant. The primary purpose of this position is to serve as an administrative assistant for Physical Evaluation Board Liaison Officers (PEBLOs) and Deployability Coordinators (DCs) involved in the Medical Evaluation Board (MEB) program, Disability Evaluation System (DES), Limited Duty (LIMDU) program, and Temporary Disability Retirement Listings (TDRL). The individual will perform various clerical and administrative duties, such as the initiation and processing of health care forms, documents, medical documentation and reports used in the placement of service members on LIMDU or the referral of patients to the DES or Physical Evaluation Board (PEB)patient administration. As part of this objective, the PEBLO Assistant position will support PEBLOs and DCs assigned to NMRTCCC, Navy Medicine Readiness and Training Unit Fort Worth (NMRTUFW), and the San Antonio Detachment in administrative functions related to the processing of LIMDU and DES cases. Furthermore, the PEBLO Assistant may also support PEBLOs in processing DES cases initiated through Army and Air Force medical providers or PEBLOs through the NMRTCCC area of responsibility (AOR), as determined by the Navy Bureau of Medicine and Surgery (BUMED).
This position is located at the Operational Force Readiness Department, Navy Medicine Readiness and Training Command (NMRTC) Corpus Christi, TX and San Antonio Detachment San Antonio, TX. The purpose of this order is to provide support services to satisfy the overall operational objectives of the command. The primary objective is to provide contractor services and deliverables through administrative services performed at NMRTCCC and the subordinate commands of NMRTUFW, NMRTU Kingsville, and the San Antonio Detachment

REQUIREMENTS:

  • Knowledge of the military medical/physical disability processing systems regarding active duty and reserve personnel as well as veterans’ health/retirement/benefits and the ability to apply an extensive body of laws, rules and regulations, and procedures relating to military personnel in order to explain to service members the significance of the accurate completion of forms and that they understand the meaning of the statements they provide.
  • Knowledge of the healthcare delivery system, the military organizational structures, protocols, and details regarding related matters and their relationships in order to perform required tasks.
  • Knowledge of the automated IDES Veteran’s Tracking Application (VTA) database, as well as knowledge of AHLTA and HAIMS electronic medical records.
  • Knowledge of medical terminology, human anatomy and physiology, procedures, major diseases and injuries, as well as medical records. Knowledge of the meaning and spelling of medical terminology relating to clinic procedures and test to screen patients, schedule appointments and check records for inclusion of current test results.
  • Knowledge of locally established program objectives, priorities, and practices requiring extended experience to initiate, plan, and coordinate a series of interrelated clerical activities.
  • Knowledge of TDRLs and required forms and procedures in order to complete necessary clerical support and scheduling of reevaluation appointments IAW the Service Headquarters and PEB requirements.
  • Knowledge of policies and procedures for HIPAA, Freedom of Information Act and Privacy Act and directives issued by competent authorities, and the ability to maintain absolute confidentiality regarding discussions, and written material, within the MTF.
  • Knowledge required to prepare/draft routine email messages and be familiar with official message traffic related to placement on MEB/LIMDU for referral to the DES.
  • Must be completely trained and have strong understanding of the following word processing and software types to include but not limited to: MS Office Suite (Word, Excel, Access), CHCS, AHLTA, EWSR, DEERS, TIPS, Joint Legacy Viewer (JLV), MHS GENESIS, LIMDU SMART, TRICARE, and Network Referral Systems. Must have knowledge of medical facility services, referral management protocols, types of patients and procedures, general knowledge of medical terminology, medical diseases, and diagnosis in order to communicate with patients, providers, medical offices, and support staff.
  • Knowledge of all aspects of general clerical duties to include but not limited to: proper phone procedures, data entry, filing system, medical documentation protocols, quality control and proofing, and working in fast-paced medical environment capable of multitasking and providing excellent customer service. Knowledge of basic computer skills, including the ability to type on a computer/word processor at 40 words per minute (wpm) and able to perform moderate physical tasks to reach, bend, lift files and documentation, and comfortable to sit for long periods of times.
  • Must be a US Citizen.

Responsibilities:

  • Receive telephone calls, emails, or visitors and assists as required.
  • Receive and review all incoming/outgoing correspondence (written or electronic communications, etc.) accurately determining nature of request and routes correspondence appropriately.
  • Updates LIMDU SMART, VTA and any necessary local trackers related to LIMDU and DES
  • Retrieve, copy, and file documents into official medical records. May be required to locate medical documentation such as narrative summaries, referral entries, results for placement into case files.
  • Provide and initiate medical forms for customers.
  • Schedule appointments (to include medical, Compensation and Pension (C&P) exams as well as local medical evaluation boards).
  • Assist in the scheduling of appointments for LIMDU patients within the NMRTCCC AOR.
  • Assist with the proper assembly of MEB case files (MEB packages and/or TDRL exams)
  • Uploads documents into the appropriate Government tracking systems.
  • Forwards completed MEB, TDRL packages to required offices per regulatory procedures.
  • Dispositions case files IAW Military Records Information Management System requirements and procedures.
  • Using instructions provided by military departments or VA offices, revises patient handouts, training documents, checklists, operating procedures, or other office continuity document as needed.
  • Attends Deployability Coordinator and Temporary Limited Duty (TEMPO) meetings as required.
  • Assists in the training of DCs, medical providers, and tenant commands on LIMDU and DES as required.
  • Performs other administrative duties supporting the Operational Force Readiness Department including medical records filing, retrieval, and research or review.
