Department Summary
The EPMO supports Maximus Canada’s client business departments and other shared services by providing Project Delivery, Corporate Planning, Governance and Business Performance. The Governance and Business Performance team works closely with stakeholders to provide system administration for the Service Now Project Portfolio Management application and oversees related practices and processes.
Position Summary
Reporting to the Manager, the PMO Analyst is responsible for leading the day-to-day operations that deliver on the EPMO commitments, including project reporting, margins reporting, project intake, resource forecasting, and time tracking and reporting. This role also ensures data integrity in the organization’s application, tracks KPIs, and drives compliance with the organization’s project management and time-tracking requirements.
Under the direction of the Manager, PMO, the successful candidate will lead workstreams to deliver continuous improvement initiatives that improve the EPMO business outcomes. This includes the adoption of innovative approaches and tools.

Your typical week at Maximus

  • Delivers systems administration support for the organization’s time reporting and approval application; maintains and looks for ways to improve ongoing business processes related to data analysis, reporting, audits, and user training.
  • Liaises with managers throughout the organization to support resource allocation and forecasting processes and functionality in the organization’s application.
  • Triages demands for new projects in the organization’s application and forwards or flags appropriately.
  • Maintains documentation related to the system administration of time tracking and resource management, and training for new users.
  • Creates and modifies reports to support business areas.
  • Proactively maintains data integrity within the organization’s time-tracking and resource management application.
  • Liaises with other internal departments such as Finance, HR, Contracts, Service Management, to support integration and compliance of operational processes and reports; supports consistency of information between HR, Finance, and EPMO ensuring accurate employee data.
  • Tracks KPIs across the organization.
  • Supports change planning and monitoring within the business area to mitigate / prevent issues or conflict.
  • Communicates with stakeholders to provide updates on activities affecting business users.
  • Supports Major Projects Executive Status Reporting process.
  • Maintains the department SharePoint site.
  • Provides guidance to junior team member(s).
  • Other activities to support governance and business performance as required.

Education and Experience

  • Post-secondary education with a focus in business administration or related field is required plus 5 years of related experience in a business environment working independently, or equivalent experience.
  • Experience successfully implementing and supporting enterprise applications.
  • Experience as PMO Analyst or similar role.
  • Professional certification such as PMP or CAPM an asset.
  • Experience with Service Now PPM Standard an asset.

  • Must be a Permanent resident or Canadian citizen, residing in Canada.

  • Must be able to work in PST or MST time zones
