Description:
The following are the core responsibilities of this role. There may be a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels. Human Resources Overseeing the day-to-day operations of the organisation, ensuring staff achieve their primary responsibilities Functional management of all clinical and administrative staff Direct line management of the following staff: Operations Manager, Administrators, Practice Nurses and salaried GPs Managing the recruitment and retention of staff; develop, implement and embed an effective succession plan Key liaison with Primary Care Network, and any ARRS staff who provide a supporting service at the organisation Ensuring that all staff undertake a robust induction process, including staff employed via the PCN Establishing, reviewing and regularly updating job descriptions and person specifications, ensuring all staff are legally and gainfully employed Implementing and embedding an effective staff appraisal process Implementing effective systems for the resolution of a range of HR issues Maintaining an effective overview of and ensuring compliance with HR legislation Ensuring all staff have the appropriate level of training to enable them to carry out their individual roles and responsibilities effectively Finance Managing the finances of the organisation, including bank accounts, invoicing, etc.
seeking to maximise income and reduce expenditure in conjunction with the partners Maintaining an effective liaison with the accountant, overseeing organisation accounts Briefing partners on all financial matters Managing and processing partners drawings, PAYE and pensions for practice staff Submission of claims and invoices to NHS England, CQRS, PCSE, ICB, PCN, Educational Institutions, etc and monitoring payments Practice organisation and services Acting as the primary point of contact for NHS(E), ICB, community services, suppliers and other external stakeholders Developing, implementing and embedding an efficient business continuity plan Managing the procurement of organisation equipment, supplies, contracts and services Ensuring practice meets NHS and CQC regulations e.g. in relation to the annual Infection Prevention and Control audit and premises risk assessments (Health and Safety, Fire Safety, Disability Access, Legionella). Coordinating the reviewing and updating of all organisation policies and procedures Leading change and continuous improvement initiatives; coordinating all projects within the organisation Coordinating and leading the compilation of organisation reports and the practice development plan (PDP) Ensuring the team reaches a range of targets, including QOF, Enhanced Services, PMS, local schemes. Adopting a strategic approach to the management of all patient services matters Developing, implementing and embedding an effective communication strategy (internal and external) Ensuring the organisation maintains compliance with its NHS contractual obligations Publishing communications for internal and external use Participating in PMs forum and other external meetings as required Complaints and patient engagement Reviewing and responding to all formal complaints in line with current legislation and guidance Gathering patient feedback, respond as needed, and report data as required e.g.
Friends and Family Test Using themes from complaints, feedback, patient reviews and significant event analysis to inform operational planning and ensure lessons are fully embedded into future service delivery Developing and supporting the management of the Patient Participation Group Information Technology Managing the organisation IT system, delegating staff to act as administrators Having a working knowledge of all software and hardware and assist clinical and non-clinical staff in the effective utilisation of these Planning and managing changes or developments to IT systems Being responsible for ensuring the Practice complies with the Information Governance Framework Reviewing and completing the annual Data Protection and Security Toolkit for the Practice Updating and reviewing information governance policies and ensure staff awareness Maintaining the practice and NHS choices website
