The Ministry of Government Relations’ Corporate Services Branch seeks a self-motivated individual to serve as the ministry’s Privacy and Records Analyst.
The Corporate Services branch provides financial services and oversees strategic planning, accommodations, information technology, records management and access and privacy.
Reporting to the Information Governance Manager in the Business Improvement Unit, you will:
- Lead the ministry’s process for responding to access to information requests in accordance with The Freedom of Information and Protection of Privacy Act (FOIP). Job duties entail collaborating with applicants and ministry staff to confirm the scope of a request, review records and redact information in accordance with FOIP and collaborate with senior leadership to prepare responsive packages that can be sensitive and confidential in nature;
- Educate and lead presentations to ministry staff at all levels on FOIP processes and procedures;
- Assist in the development of the ministry’s operational records schedule;
- Collaborate with the Provincial Archives of Saskatchewan to develop a comprehensive records management policy and procedures for the ministry; and
- Support the ministry’s move from hard copy records to cloud-based records management.
As the successful candidate, you will:
- Have experience in interpreting The Freedom of Information and Protection of Privacy Act and responding to freedom of information requests;
- Be well-organized and demonstrate a high attention to detail in your work;
- Clearly and accurately explain complex information to applicants, government staff and senior leaders;
- Input, edit, retrieve, format and transmit information using a variety of software (i.e., Microsoft Office Suite and an intermediate understanding of Adobe Acrobat) with speed and accuracy;
- Independently assign and adjust your own and others’ workloads taking into consideration. changing priorities, tight deadlines, multiple reporting relationships and constant interruptions;
- Collect, record, clarify, identify and analyze relevant data and/or issues to present information and/or options in a way that is easily understood; and
- Be comfortable training others on detailed processes and procedures.
Typically, the knowledge and skills required for this position would be obtained through the completion of a two-year certificate or diploma in information management combined with two years’ experience working in an office environment, ideally while working with confidential documents. An equivalent combination of education and experience will be considered.
